As the initial point of contact for clients, vendors, and employees, you will set the tone for visitor experiences and maintain a secure, seamless office flow. The ideal candidate combines excellent interpersonal communication with proactive problem-solving abilities to support overall team efficiency.
Core Responsibilities
Visitor & Communication Management
Greet visitors: Welcome incoming guests, clients, and partners warmly and professionally.
Screen telephone calls: Answer multi-line systems, direct calls accurately, and take clear messages.
Direct office traffic: Notify staff members immediately upon their scheduled visitors' arrival.
Manage office mail: Receive, date-stamp, sort, and distribute letters, courier packages, and deliveries.
Handle public inquiries: Respond to general informational questions via email, phone, or in person. [1, 2, 3, 4, 5]
Administrative & Security Operations
Maintain lobby security: Monitor visitor logbooks, check physical IDs, and issue visitor access badges.
Upkeep front desk: Ensure the reception and waiting areas stay tidy, stocked, and presentable.
Schedule appointments: Coordinate corporate calendars, book conference rooms, and log meeting requests.
Inventory office supplies: Monitor stock levels of stationery and pantry items to place reorders.
Perform clerical tasks: Execute data entry, scan documents, file paper records, and compile expense sheets.
