Job Summary:
Dr. Kanungo’s Diabetes Centre is a specialized clinic focused on diabetes care, offering consultations, monitoring, and lifestyle guidance with a patient-centered approach.
The Manager - Front Office is responsible for overseeing all front office operations, ensuring smooth patient flow, and managing administrative as well as staff-related activities. This role includes supervision of front office staff, coordination with all departments, and handling HR-related tasks such as attendance, leave, and salary coordination with the finance team.
Key Responsibilities:
1. Front Office Management
Supervise and manage day-to-day front office operations.
Ensure smooth patient registration, billing, and appointment scheduling.
Maintain high standards of patient service and satisfaction.
Handle patient queries, complaints, and feedback professionally.
2. Patient Management
Ensure proper patient flow from registration to consultation.
Monitor appointment scheduling and minimize waiting time.
Coordinate with doctors and departments for seamless patient care.
Maintain accurate patient records and confidentiality.
3. Staff Management (All Departments)
Supervise not only front office staff but also coordinate with all clinic staff.
Ensure discipline, grooming, and professional behavior among staff.
Monitor staff performance and report to management.
Support recruitment, onboarding, and training of new staff if required.
4. Attendance & Leave Management
Maintain daily attendance records of all staff.
Manage staff leave records and approvals as per policy.
Ensure proper shift scheduling and duty rosters.
5. Salary Coordination
Coordinate with the finance/accounts team for salary processing.
Verify attendance, leave, and overtime data before payroll processing.
Resolve salary-related queries of employees.
6. Administrative Responsibilities
Maintain front office registers, reports, and documentation.
Ensure proper handling of calls, emails, and communication.
Monitor housekeeping and cleanliness of reception and waiting areas.
Ensure compliance with clinic policies and procedures.
Required Skills & Competencies:
Strong leadership and team management skills
Excellent communication and interpersonal skills
Good knowledge of hospital/clinic operations
Ability to handle patients with empathy and professionalism
Proficiency in MS Office and hospital management systems
Strong organizational and multitasking abilities
Qualifications:
Graduate in any discipline (preferably Healthcare Administration / Management)
Minimum 8–10 years of experience in hospital/clinic front office or administration
Experience in staff handling and coordination is mandatory
