Job Description

1.      Reception:

a.      Visitor: - Greeting and assisting visitors/employees in a professional and friendly manner.

b.      Answering phone calls, taking messages and forwarding to respective department.

c.       Courier:   Courier booking online & Offline and distribution & keep records

d.     Organize incoming and outgoing Mails.

Receiving incoming mails, sorting, maintaining details in excel and distribution appropriate department / preparing details of outgoing mail in excel.

e.      Updating of Telephone List / Extension Number from time to time and circulating the same as & when required.

f.        Handle Epbax system ,Greet visitors and guest and direct them to appropriate person

 

2.      Travel Desk:

a.      Co-ordinate for ticket booking , cab booking, hotel booking with employees.

b.      Check travel expense  as per policy

 

3.      Housekeeping :

a.      Supervise of the Housekeeping activities done by the House keeping boy.

b.      Work allotment to office boys

c.       Procurements and empaneled them. Negotiate and place orders with housekeeping material vendors.

d.     Maintaing attendance’s mastered register and Monthly salary register  records.

4.      Co-Ordinate & process utility bills, vendor bills etc

 

5.      Facility Management: Arranging drinking water, tea coffee, conference room, Food arrangement for guest.

 

6.      Office Maintenance: Monitoring of repair, maintenance & replacement of office equipment’s, such as Air Condition/ Carpenter / plumbing/ civil work. AMC Contract renewal monitoring and service follow-up.

 

7.      Stationery Management – Distribution / Stock

a.      Stock Taking Order.

b.      Identify good and cost-effective vendors for various admin-related procurements and empaneled them.

c.       Negotiate and place orders with vendors for stationery,

d.     Distribution of stationery to employees.

e.      Updating stationery records in excel sheet. 

 

8.      Induction & On Boarding

a.      Announcement of New Joinee.

b.      Finger Punching Registration of New joined Employees.

c.       Ensure the creation of email address of New joined Employees from IT Department and addition in the groups.

d.     Verification of Documentation of New Joinee.

Collect & Verify the document, authorise from Manager HR, send to Silvassa HRD.

e.      Orientation to New Joined employees for HRM Thread Demo.

f.        Coordinate with Bank for salary account of New Joined employees.

 

9.      Co-ordinate to organise  events for Employees Engagement

a.      Farewell

b.      Birthday celebration

c.       Festival celebration.

 

10.  Recruitment support 

a.      Interview Calls to candidate.

b.      Coordination for interview schedule.

  

11.  Attendance & Master Roll Management

a.      Monitor late coming in the morning and after Lunch break.

b.      Monitor in-out and on duty register book

 

12.  Doing administrative and clerical tasks (such as scanning or printing)

13.  Support HR & Admin department for miscellaneous work as given 

 

14.  As per our director quick response regarding any query.
