Job Description – Front Office Executive / Sr. Executive
Position Overview
The Front Office Executive / Sr. Executive is responsible for managing front desk operations, providing excellent customer service, and ensuring smooth coordination between departments. This role requires strong communication skills, a professional attitude, and the ability to handle guests, calls, and administrative tasks efficiently.
Key Responsibilities
1. Front Desk Management
Greet visitors and guests professionally.
Manage the reception area and ensure cleanliness and order.
Maintain visitor logbook, service logbook, and issue visitor passes.
Handle guest queries and guide them appropriately.
2. Communication & Coordination
Attend and route incoming calls, emails, and messages.
Coordinate with internal teams for appointment scheduling, meeting room arrangements, and visitor management.
Maintain effective communication with management and staff.
3. Administrative Support
Manage daily attendance and maintain relevant records.
Handle courier inward/outward and maintain logs.
Prepare reports, letters, and documents as required.
Manage procurement of office supplies and coordinate with vendors if required.
4. Guest & Customer Service
Provide prompt assistance to clients, visitors, and employees.
Handle escalations professionally and ensure timely resolution.
Support HR/Admin in onboarding-related desk activities (ID card, seating arrangement, welcome kit, etc.).
Oversee junior front office staff and guide them.
Required Skills & Competencies
Excellent verbal and written communication (English & Hindi).
Strong interpersonal and customer-handling skills.
Good knowledge of Microsoft Office (Word, Excel, Outlook).
Professional appearance and grooming.
Ability to multitask and handle pressure.
Positive attitude, discipline, and team coordination skills.
Qualifications
Graduate in any discipline.
1–3 years of experience for Front Office Executive.
3–5 years of experience for Sr. Front Office Executive (preferred).
Experience in hospitality, corporate front desk, or customer service is an added advantage.
