Job Purpose
The Front Desk Executive is responsible for managing the organization's front office operations while ensuring a professional and welcoming experience for visitors, clients, and guests. The role includes reception management, administrative support, coordination of meetings, courier management, and executive assistance to senior management to ensure smooth day-to-day administrative operations.
Key Responsibilities
Front Office Management
Welcome and assist visitors, clients, vendors, and guests in a courteous and professional manner.
Maintain a clean, organized, and presentable reception area, boardroom, and visitor lounge.
Offer refreshments to visitors and escort them to the appropriate meeting rooms or departments.
Manage visitor records and ensure adherence to security protocols.
Call & Communication Management
Handle all incoming and outgoing telephone calls efficiently.
Route calls to the appropriate departments or personnel.
Record and forward messages accurately when required.
Assist employees with conference calls and dial-in support.
Meeting & Administrative Coordination
Coordinate meeting room bookings and ensure meeting arrangements are completed.
Arrange refreshments and other logistics for internal and external meetings.
Provide administrative and secretarial support to the CMD, Vice President, and Department Heads.
Courier & Documentation
Maintain courier inward and outward registers.
Coordinate receipt and dispatch of all couriers and official documents.
Verify courier records for billing and processing.
Ensure timely distribution of incoming documents to respective departments.
Executive Support
Provide administrative assistance to the CMD and senior leadership.
Share daily FOREX updates with the CMD.
Assist in scheduling appointments and maintaining executive calendars when required.
Facility & Canteen Coordination
Coordinate canteen services and ensure smooth daily operations.
Liaise with vendors for office administration requirements.
Support general office administration activities as assigned.
