Key Responsibilities
A. Front Desk & Reception Management
▸ Greet and welcome clients, guests, and visitors with warmth and professionalism.
▸ Manage incoming calls, emails, and correspondence efficiently.
▸ Maintain the reception area in an organised and presentable condition at all times.
▸ Handle visitor register, issue visitor passes, and coordinate with concerned departments.
B. Client Hosting & Relationship Management
▸ Host visiting clients and business guests — arrange refreshments, meeting rooms, and hospitality needs.
▸ Coordinate client visits end-to-end including scheduling, seating arrangements, and follow-ups.
▸ Ensure a positive and lasting first impression for all company guests.
C. Sub-Staff & Driver Supervision
▸ Supervise and coordinate sub-staff (housekeeping, office boys, peons) for smooth office operations.
▸ Manage driver schedules, vehicle allocation, and daily movement logistics.
▸ Ensure punctuality, discipline, and productivity among support staff.
D. Vendor Coordination
▸ Liaise with all office vendors including pantry supplies, courier, stationery, maintenance, and facility services.
▸ Coordinate vendor visits, ensure timely delivery, and maintain vendor communication records.
▸ Track and report vendor bills / invoices to the accounts/admin team.
E. General Administration
▸ Manage courier dispatch and receipt — maintain logs and follow up on deliveries.
▸ Maintain attendance and movement registers for support staff.
▸ Assist HR/Admin with onboarding of new joiners — office orientation, ID cards, workstation setup.
▸ Handle basic office supply inventory and raise purchase requests when required.
▸ Coordinate internal meeting room bookings and daily office schedules.
