Job Title: Executive Secretary to CEO
Location: Main Bye Pass Road, Opposite Sector 9
Reports To: Chief Executive Officer (CEO)
Job Summary:
The Executive Secretary to the CEO provides high-level administrative and organizational support, ensuring smooth day-to-day operations of the executive office. This role requires discretion, efficiency, and the ability to handle sensitive information while managing schedules, communications, and priorities.
Key Responsibilities:
Manage and maintain the CEO’s calendar, appointments, and meetings
Coordinate internal and external communications on behalf of the CEO
Prepare reports, presentations, and correspondence
Organize travel arrangements, itineraries, and accommodation
Act as a liaison between the CEO and staff, clients, and stakeholders
Screen calls, emails, and requests, prioritizing as needed
Maintain confidential files and documents
Assist in planning meetings, events, and conferences
Take minutes during meetings and follow up on action points
Handle administrative tasks such as expense reports and office coordination
Required Skills & Qualifications:
Bachelor’s degree in Business Administration or related field (preferred)
Proven experience as an executive assistant or personal secretary
Excellent verbal and written communication skills
Strong organizational and time-management abilities
High level of discretion and confidentiality
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Ability to multitask and work under pressure
Professional attitude and appearance
