Job Description

1. Managing all administrative tasks efficiently

  • Preparing and maintaining all physical and digital records, files, and documents in proper order.

  • Updating registers, attendance sheets, and official records regularly without delays.

  • Managing stationery and office supply inventory — keeping track, replenishing when required, and avoiding wastage.

  • Assisting in preparation of reports, letters, and official communication as instructed.

  • Coordinating with vendors for services like printing, repairs, and maintenance, and ensuring timely completion.

  • Handling inward/outward couriers, emails, and phone calls professionally.

  • Maintaining confidentiality of official records and sensitive information.

2. Accounts-related administrative work

  • Maintaining vouchers properly, ensuring they are filled out completely, signed, and filed systematically.

  • Keeping accurate filing of bills, receipts, and financial records in both physical and soft copies.

  • Preparing and updating payment statements, ensuring they are complete, accurate, and up to date.

  • Sending proper and timely payment request emails to the concerned department or person, with all necessary attachments and details.

  • Avoiding wastage of resources (e.g., printing unnecessary copies, over-ordering supplies, etc.).

  • Supporting the accounts team by providing documents promptly when requested.

3. Coordinating with the telecaller and following up on tasks

  • Ensuring daily check-ins with the telecaller to understand pending follow-ups.

  • Keeping track of calls made, leads generated, and follow-up schedules.

  • Making sure the telecaller has updated data and call lists at the start of each day.

  • Reporting daily call updates and progress to the reporting head without being reminded.

  • Following up on admissions, inquiries, or pending matters and ensuring closure.

  • Supporting telecaller with required documents or administrative help for smooth workflow.

4. Ensuring office cleanliness and upkeep

  • Checking all office areas daily in the morning to ensure cleanliness before work starts.

  • Coordinating with housekeeping staff for cleaning desks, reception area, washrooms, and common areas.

  • Ensuring drinking water is available and clean, and the pantry area is maintained.

  • Reporting any repair/maintenance needs (lights, furniture, fixtures, AC, etc.) immediately to the concerned person.

  • Maintaining a pleasant and organized office environment for staff and visitors.
