We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will have a minimum of 5 years of experience in executive-level support, exceptional organizational and communication skills, and the ability to handle confidential information with discretion. This role requires a strategic thinker with a strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Executive Support:
Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
Prepare agendas, take meeting notes, and follow up on action items.
Draft, edit, and manage correspondence, reports, and presentations.
Screen calls, emails, and other communications; prioritize and respond as appropriate.
Project Management:
Assist in the planning and execution of special projects, ensuring deadlines are met.
Conduct research and compile data to support executive decision-making.
Track key deliverables and monitor progress on strategic initiatives.
Travel Coordination:
Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
Prepare detailed travel schedules and handle last-minute changes effectively.
Office Management:
Manage office operations, including ordering supplies and maintaining office equipment.
Coordinate logistics for board meetings, executive off-sites, and company events.
Confidentiality and Discretion:
Maintain the highest level of confidentiality regarding sensitive information.
Handle personal and professional information with integrity and professionalism.
Qualifications and Requirements:
Bachelor’s degree in Business Administration, Communications, or related field (preferred).
Minimum of 5 years of experience supporting C-suite executives.
Exceptional written and verbal communication skills.
Proficiency in Microsoft Office Suite and scheduling software (e.g., Outlook, Zoom, Asana).
Strong organizational and time management skills with a keen eye for detail.
Ability to work independently and handle multiple priorities under tight deadlines.
Demonstrated ability to maintain confidentiality and exercise sound judgment.
Strong interpersonal skills and the ability to interact professionally with stakeholders at all levels
