Job Description
We’re looking for a driven and highly organized Executive Assistant to the CEO who thrives in fast-paced environments, takes initiative, and can work across multiple functions with ease.
This role goes beyond scheduling and calendar management. You will be a critical part of the founder’s office—handling internal operations, managing communications, organizing priorities, and ensuring execution happens across departments.
The ideal candidate is agile, a strong communicator, and has a knack for bringing clarity to chaos. You should be comfortable working with confidential information, juggling multiple projects, and proactively solving problems.
Key Responsibilities
1. Calendar & Meeting Coordination
Manage and optimize the CEO’s daily schedule and task list.
Prioritize meetings based on urgency and business objectives.
Prepare agendas, take meeting notes, and follow up on action items.
2. Operations & Follow-Ups
Act as a bridge between the CEO and internal teams (Product, Sales, Marketing).
Track tasks assigned by the CEO across departments and ensure closure.
Maintain a system for documenting pending items, priorities, and deadlines.
3. Communication & Documentation
Draft emails, responses, and internal communication on behalf of the CEO.
Prepare basic pitch decks, meeting briefs, and reports as required.
Coordinate with vendors, clients, and external stakeholders professionally.
4. Research & Support
Conduct quick research on platforms, tools, and potential partners as needed.
Compile competitor insights or artist-related data to assist decision-making.
Support in internal audits, recruitment coordination, or other ad-hoc projects.
5. Travel & Logistical Planning
Manage travel bookings, stay, event logistics, and last-minute plan changes.
Coordinate artist meetings, client events, or office offsites when needed.
6. Confidential & Personal Task Handling
Handle personal errands and administrative duties with discretion.
Manage CEO’s personal logistics (as required), including scheduling and follow-ups.
Requirements
Must-Haves
2–4 years of experience in an Executive Assistant or coordination role.
Excellent command of written and spoken English.
High attention to detail and strong organizational skills.
Comfort with Google Suite, Excel/Sheets, and communication tools like Slack.
Ability to multitask and prioritize in a fast-moving startup setup.
Bonus
Prior experience working directly with a founder or leadership team.
Background in startups, media, artist management, or event companies.
Basic knowledge of PowerPoint/Canva or similar tools.
