Job Description

1. Job Purpose

The Store Manager will be responsible for the complete management and control of the company's stores and inventory, including raw materials, packing materials, finished goods, consumables, tools and other materials.

The role requires close coordination with Purchase, Production, Quality, Accounts, Sales and Dispatch to ensure that the right material is available at the right time, stock records are accurate, and all inward/outward movements are properly documented.

2. Key Responsibilities

A. Inventory Management

Maintain accurate records of all inventory received, issued, transferred and dispatched. Maintain real-time stock position of raw materials, finished goods, packing materials and consumables.• Ensure proper identification, labelling and storage of all materials.• Monitor minimum, maximum and reorder levels.• Identify slow-moving, non-moving, excess and obsolete inventory.• Conduct regular physical stock verification and reconcile discrepancies.• Ensure stock is maintained as per company-approved inventory norms.• Implement FIFO/FEFO wherever applicable.• Prevent material wastage, damage, pilferage and unauthorized movement.

B. Raw Material Management

Maintain proper control over materials such as:

Plastic granules Masterbatches / colour materials• Cotton cords / threads• Metal components• Packaging materials• Labels and other consumables• Production-specific components• Other approved raw materials

Responsibilities include:

Receive materials against Purchase Orders. Verify quantity against invoice/challan.• Coordinate with Quality for material inspection.• Ensure rejected/non-conforming materials are separately identified and quarantined.• Issue materials to production against approved requisitions.• Maintain batch/lot-wise records wherever applicable.

C. Material Inward Process

Receive all incoming materials through a proper •Material Inward / GRN process••.• Check:

Quantity Packaging condition PO number Supplier details Invoice/challan Batch/lot details• Coordinate with QC/Production for inspection.• Record shortages, excess quantities or damages immediately.• Do not accept unauthorized or unapproved material without management approval.

D. Material Issue to Production

Issue materials only against approved •Material Requisition / Production Requirement••.• Maintain material issue records for each production order.• Ensure correct material, colour, specification and quantity are issued.• Track material consumption and return of unused material.• Record production wastage/rejection separately.• Coordinate with Production to avoid material shortages and production delays.

E. Finished Goods Management

Receive finished goods from Production after required quality clearance. Ensure finished goods are properly counted, packed, labelled and stored.• Maintain product-wise and order-wise stock.• Maintain records based on:

Product Customer/order Colour Size/specification Quantity Batch/lot, wherever applicable• Ensure finished goods are available for dispatch as per Sales/Dispatch requirements.

F. Dispatch Coordination

Coordinate with Sales and Dispatch teams regarding daily dispatch requirements. Verify quantity and product details before dispatch.• Ensure materials are dispatched against approved documents.• Maintain Dispatch Register / Finished Goods Outward Register.• Ensure proper packing and identification of customer orders.• Prevent wrong-product, wrong-quantity and mixed-order dispatches.• Immediately report any stock shortage affecting dispatch.

G. Documentation & Records

Maintain and regularly update:

Stock Register Raw Material Register• Finished Goods Register• Material Inward Register• GRN Records• Material Issue Slips• Material Return Records• Stock Transfer Records• Dispatch Register• Rejection/Quarantine Register• Damaged Material Register• Scrap/Wastage Register• Physical Stock Verification Reports• Supplier delivery records• Packing Material Register• Tool/Consumable Register

All records should be updated daily and maintained systematically for audit purposes.

3. Production Coordination

The Store Manager must coordinate closely with Production to ensure:

Required raw materials are available before production starts. Production plans are supported by adequate material.• Material shortages are identified in advance.• Material consumption is properly recorded.• Unused materials are returned to stores.• Production does not stop due to avoidable material shortages.• Urgent production requirements are communicated immediately to Purchase/Management.

4. Purchase Coordination

Share stock shortage/reorder requirements with Purchase. Prepare or communicate Material Requisition / Purchase Requirement based on stock levels.• Monitor pending purchase orders.• Track expected delivery dates.• Coordinate with suppliers for pending materials.• Inform management about critical shortages or delayed supplies.• Ensure purchased material is properly received and recorded.

5. Stock Control & Audit

Conduct •daily/weekly/monthly stock checks•• as defined by management.• Perform cycle counts for high-value and fast-moving materials.• Conduct monthly physical inventory reconciliation.• Investigate stock differences immediately.• Maintain zero-tolerance approach toward unauthorized stock movement.• Report discrepancies to management with reasons and corrective action.• Support internal, customer and certification audits.

6. Warehouse Management

The Store Manager will be responsible for maintaining an organised and safe store:

Clearly identify storage locations. Use proper racks/bins/pallets wherever applicable.• Maintain proper product identification.• Separate raw material, finished goods, rejected material, returned material and scrap.• Maintain cleanliness and housekeeping.• Ensure safe stacking of materials.• Ensure fire and safety requirements are followed.• Restrict unauthorized access to stores.

7. ERP / Excel / Inventory Software

The candidate should be capable of maintaining inventory through ERP/software and Excel.

Responsibilities include:

Daily stock updating. Maintaining inward/outward transactions.• Generating stock reports.• Maintaining item-wise stock.• Preparing shortage reports.• Preparing consumption reports.• Maintaining reconciliation reports.• Generating monthly inventory statements.• Ensuring physical stock matches system stock.

8. Daily Reporting

The Store Manager must submit a Daily Store Report covering:

1. Opening stock2. Material received3. Material issued to production4. Material returned5. Finished goods received6. Finished goods dispatched7. Closing stock8. Material shortages9. Pending inward materials10. Damaged/rejected materials11. Critical stock items12. Any discrepancy or unusual movement

Any issue that can affect production or customer delivery must be reported to management on the same day.

9. Key Performance Indicators (KPIs)

Performance will be evaluated on:

Inventory accuracy Stock reconciliation accuracy• Reduction in stock discrepancies• Zero unauthorized material movement• Timely material availability for production• Reduction in production stoppages due to material shortages• Timely inward and outward entries• Dispatch accuracy• Proper warehouse organisation• Reduction in material wastage/damage• Timely reporting• Proper documentation• Audit compliance• Identification of slow/non-moving inventory

Preferred Experience in manufacturing / plastic / garment accessories / packaging / industrial products will be preferred.

Educational Qualification••Minimum:•• Graduate / Diploma

Experience••2-3 years of relevant experience•• in stores, inventory or warehouse management, preferably in a manufacturing environment.Candidates with experience handling raw materials + production stores + finished goods will be preferred.

Authority & AccountabilityThe Store Manager will be accountable for the physical and system-wise accuracy of all materials under the Stores Department.

No material should be:

Received without proper documentation Issued without authorization• Dispatched without approved documentation• Shifted without recording• Mixed without identification• Kept in an unidentified location
