Position: Store & Administration Executive
Location: Ujina, Nuh, Haryana

Reporting To: Factory Head
Salary Range: ₹25,000 – ₹30,000 per month
Job Summary
We are seeking a proactive and detail-oriented Store & Administration Executive to manage inventory, stores operations, ERP transactions, and day-to-day administrative activities of the manufacturing facility. The ideal candidate should have experience in engineering stores, inventory management, vendor coordination, and office administration while ensuring smooth factory operations.
Key Responsibilities
A. Store & Inventory Management
Inventory Control
Maintain accurate stock records in ERP software.
Monitor inventory levels and initiate replenishment requests.
Conduct periodic stock verification, audits, and reconciliations.
Ensure optimum stock levels to avoid shortages or excess inventory.
Track fast-moving, slow-moving, and non-moving inventory items.
Material Receipt & Dispatch
Verify incoming materials against Purchase Orders and Delivery Challans.
Prepare Goods Receipt Notes (GRN) and update ERP records.
Coordinate dispatch of finished goods and materials.
Maintain inward and outward material registers.
Material Storage & Handling
Ensure proper storage, identification, and labeling of materials.
Maintain FIFO (First In First Out) practices where applicable.
Monitor material preservation and housekeeping within stores.
Coordinate loading and unloading activities safely.
B. ERP & Documentation
Record all inventory transactions in ERP.
Generate daily, weekly, and monthly inventory reports.
Maintain stock movement records and issue slips.
Maintain material test certificates, supplier documents, and inventory records.
Ensure document compliance and traceability.
C. Procurement & Vendor Coordination
Coordinate with the Purchase Department for material requirements.
Follow up with suppliers regarding pending deliveries.
Resolve material shortages and discrepancies.
Manage return of rejected, damaged, or excess materials.
Assist in obtaining quotations and vendor comparisons when required.
D. Factory Administration
Office Administration
Maintain office supplies, stationery, and consumables.
Coordinate housekeeping and office maintenance activities.
Ensure availability of drinking water, pantry supplies, and utility requirements.
Monitor office cleanliness and upkeep.
Facility Management
Coordinate repairs and maintenance of office equipment.
Maintain records of facility AMC contracts.
Liaise with service providers for housekeeping, security, internet, and utilities.
Support implementation of factory safety and housekeeping standards.
Employee Support
Assist HR in employee attendance records.
Coordinate onboarding logistics for new employees.
Maintain employee files and administrative records.
Arrange travel, accommodation, and transportation when required.
E. Compliance & Record Management
Maintain statutory and audit-related records.
Support internal and external audits.
Maintain gate entry records and visitor logs.
Ensure compliance with company policies and procedures.
Assist in ISO documentation and quality records management.
F. Reporting
Daily Stock Report.
Monthly Inventory Aging Report.
Material Consumption Report.
Reorder Level Report.
Admin Expense Tracking Report.
Vendor Delivery Performance Report.
Key Requirements
Education
Graduate / Diploma in Supply Chain Management, Inventory Management, Business Administration, Engineering, or related discipline.
Experience
3–6 years of experience in Store Management and Administration.
Experience in manufacturing, engineering, fabrication, construction, or industrial environments preferred.
