Service Advisor – Key Responsibilities

Customer Service & Communication

• Greet customers and assess their service needs.

• Clearly explain required repairs, maintenance, and service options.

• Maintain continuous communication with customers regarding vehicle/service status.

• Answer customer inquiries and provide accurate information.

Service Coordination

• Create, update, and manage service work orders.

• Schedule service appointments and coordinate with technicians.

• Prioritize jobs to ensure efficient workflow in the service department.

• Communicate customer concerns to technicians accurately and completely.

Vehicle / Equipment Evaluation

• Conduct preliminary inspections and gather customer feedback on issues.

• Recommend necessary repairs, maintenance, and manufacturer-recommended services.

• Review technician reports and prepare estimates for customers.

Sales & Upselling

• Promote additional services or products when beneficial to the customer.

• Prepare and explain service quotes, costs, and timelines.

• Close service sales and ensure customer approval before work begins.

Documentation & Records

• Maintain accurate and detailed service records.

• Process invoices, warranties, and insurance claims when applicable.

• Ensure all paperwork is completed and filed according to company procedures.

Quality Control & Follow-up

• Review completed work with customers to ensure satisfaction.

• Conduct follow-up calls or messages regarding service reminders or feedback.

• Resolve customer complaints or escalate them when necessary.

Team Collaboration

• Coordinate closely with technicians and the parts department.

• Communicate any delays, changes, or additional work needed.

• Support the service manager in daily operations when required.
