Job Description

Job Title: Quality Assurance Executive – Pharma - Purchase Department

Department: Purchase (Pharma Industry)

Job Summary:

The Quality Assurance Executive in the Purchase Department of the pharmaceutical industry ensures that all raw materials, components, and services acquired from external suppliers meet the required standards for safety, quality, and compliance with applicable regulations. The role includes overseeing supplier audits, material specifications, and documentation, collaborating with internal departments, and supporting the continuous improvement of procurement processes.

Key Responsibilities:

  1. Supplier Qualification and Audits:

    • Conduct regular supplier audits to evaluate their compliance with GMP and other regulatory requirements.

    • Assess suppliers' quality systems, capacity, and ability to meet quality standards.

    • Maintain an approved list of suppliers and ensure that all suppliers are qualified before procurement.

  2. Material Review and Approval:

    • Ensure that all raw materials and packaging materials meet internal specifications and regulatory requirements.

    • Review and approve material certificates of analysis (COA) and ensure traceability of all purchased items.

  3. Quality Control and Compliance:

    • Ensure that purchased materials are received, inspected, and stored according to quality standards.

    • Review and verify all incoming materials against purchase orders and quality specifications.

    • Handle and resolve any quality issues related to purchased materials or vendors.

    • Maintain records of supplier performance and track issues related to quality or delivery delays.

  4. Documentation and Reporting:

    • Maintain proper documentation for all purchasing activities related to quality, including purchase orders, material inspections, certificates, and vendor qualifications.

    • Prepare and submit periodic reports on supplier performance, material quality, and audit findings to management.

  5. Collaboration and Communication:

    • Coordinate with regulatory bodies and external consultants to stay updated on industry standards and compliance requirements.

    • Participate in cross-functional teams to identify and resolve any quality issues related to procurement.

  6. Non-Conformance and Corrective Actions:

    • Investigate and report non-conformities in purchased materials.

    • Work with suppliers to initiate corrective and preventive actions (CAPA) when quality issues arise.

    • Monitor the effectiveness of corrective actions to ensure compliance.

  7. Continuous Improvement:

    • Contribute to the development and improvement of quality assurance processes related to procurement..

Qualifications & Requirements:

  • Education: Bachelor’s degree in Pharmacy, Chemistry, Life Sciences, or related field.

  • Experience: Minimum 2-3 years of experience in quality assurance, procurement, or supply chain management, preferably in the pharmaceutical industry.

  • Knowledge:

    • Strong understanding of Good Manufacturing Practices (GMP), Good Distribution Practices (GDP), and other relevant regulations.

    • Knowledge of pharmaceutical procurement processes and supplier management.

    • Familiarity with regulatory bodies (e.g., FDA, EMA, WHO) and their requirements for the pharmaceutical industry.

  • Skills:

    • Strong analytical skills and attention to detail.

    • Ability to work independently and in teams.

Desirable Skills:

  • Experience with supplier audits and vendor management.

  • Understanding of regulatory compliance for pharmaceutical raw materials and packaging.

  • Certification in Quality Management Systems (e.g., ISO 9001, Six Sigma) is a plus.
