Key Responsibilities of a Spares Executive

1. Inventory Management

   • Maintain optimal stock levels of spare parts.

   • Monitor slow-moving and fast-moving items.

   • Perform regular stock audits and reconcile discrepancies.

2. Procurement & Vendor Coordination

   • Purchase spare parts based on requirements.

   • Negotiate with suppliers for cost, quality, and delivery timelines.

   • Develop and maintain vendor relationships.

3. Order Processing

   • Receive and process internal/external spare parts requests.

   • Ensure timely picking, packing, and dispatch.

   • Track orders until final delivery.

4. Warehouse & Logistics Coordination

   • Ensure proper storage, labeling, and handling of spares.

   • Coordinate with logistics teams for shipment and delivery.

   • Maintain cleanliness and safety standards in the spares warehouse.

5. Documentation & Reporting

   • Maintain records of stock movements, purchase orders, and invoices.

   • Generate reports on consumption, stock aging, forecasts, and shortages.

   • Update ERP systems or inventory software.

6. Forecasting & Demand Planning

   • Analyze historical data and plan spares requirements.

   • Assist in budgeting and cost control for spare parts.

7. Customer/Service Team Support

   • Coordinate with service engineers to supply parts for maintenance or repair.

   • Provide technical information related to spare parts when needed.

   • Assist customers with parts identification and availability.

8. Quality Control

   • Inspect received spares for accuracy and quality.

   • Ensure defective or incorrect parts are returned or replaced promptly.

9. Compliance & Safety

   • Follow company policies, safety regulations, and audit requirements.

   • Ensure proper documentation for compliance purposes.
