Key Responsibilities
A. Recruitment & Manpower Planning
Handle recruitment for production operators, winding operators, technicians, engineers, supervisors, quality staff, maintenance staff and office employees.
Source candidates through job portals, references, consultants, local recruitment and other channels.
Screen resumes and conduct initial HR interviews.
Coordinate technical and management interviews.
Prepare offer letters, appointment letters and joining documentation.
Maintain manpower requirements department-wise.
Coordinate timely deployment of manpower as per production requirements.
B. Joining & Employee Documentation
Conduct joining formalities and employee induction.
Maintain complete and updated employee personal files.
Collect and verify KYC, educational, bank and previous employment documents.
Issue ID cards, appointment letters and other HR documents.
Maintain employee records in HRMS/Excel.
Coordinate confirmation, transfer, promotion and exit formalities.
C. Attendance, Leave & Shift Management
Monitor daily attendance of employees and factory workers.
Maintain biometric/machine attendance records.
Prepare attendance, leave, overtime and shift reports.
Coordinate with Production and departmental heads regarding shift schedules.
Resolve attendance discrepancies and regularize attendance with proper approvals.
Maintain records of late coming, absenteeism, overtime and weekly offs.
D. Payroll Coordination
Prepare and verify monthly payroll inputs.
Provide attendance, overtime, leave, incentives and deductions data to Accounts/Payroll.
Coordinate salary processing and resolve employee salary-related queries.
Assist with full & final settlement of exiting employees.
Maintain payroll-related records and reports.
E. Statutory & Labour Compliance
Coordinate compliance relating to applicable PF, ESI, Bonus, Gratuity, minimum wages, labour laws and factory-related requirements.
Maintain statutory registers and employee documentation as applicable.
Coordinate with external consultants for statutory filings and compliance.
Support labour inspections, audits and government authority requirements.
Ensure company HR policies are implemented in accordance with applicable laws.
F. Employee Relations & Discipline
Act as the first point of contact for employee HR-related queries.
Handle employee grievances and workplace concerns.
Maintain discipline and ensure compliance with company rules.
Issue warning letters/show-cause notices where required and approved by management.
Conduct exit interviews and identify reasons for employee turnover.
Maintain harmonious relations between management and workers.
