Position: Export Documentation Executive

Experience Required: Minimum 3 Years of relevant experience in Export Documentation with CHA handling experience
Salary: ₹25,000 – ₹30,000 per month (depending on experience)

Position Overview:
One of our client is looking for an experienced Export Documentation Executive to manage export documentation, shipment coordination, CHA coordination, banking processes, payment tracking, and regulatory compliance.
The ideal candidate should have hands-on experience in export procedures and coordination with freight forwarders, shipping lines, transporters, and Custom House Agents (CHA).
Key Responsibilities:
Export Documentation & Compliance:
Prepare and verify export documents including Commercial Invoices, Packing Lists, Shipping Bills, Certificates of Origin, AWB, BL, Insurance Certificates, and other statutory documents.
Generate E-Invoices and E-Way Bills as per GST requirements.
Ensure accuracy of HS Codes, product descriptions, quantities, weights, and shipment values.
Maintain export documentation records for audits and compliance purposes.
Shipment & CHA Coordination:
Coordinate with freight forwarders, shipping lines, airlines, transporters, and CHA (Custom House Agents) for smooth shipment execution.
Follow up on customs clearance and resolve shipment-related issues.
Coordinate vessel bookings, air cargo bookings, and transportation schedules.
Track shipment movement and maintain dispatch records.
Banking & Payment Coordination:
Prepare export documents for bank submission under LC, Advance Payment, D/P, and D/A transactions.
Track export receivables and coordinate with customers for timely payment realization.
Maintain export invoice records and payment reconciliation reports.
Coordinate with finance teams for foreign inward remittances and outstanding payments.
Assist with BRC/e-BRC documentation and export proceeds records.
Regulatory & ERP Management:
Ensure compliance with Customs, DGFT, GST, FEMA, and other export regulations.
Assist in export incentive documentation and government-related processes.
Update export orders, invoices, shipment details, and payment entries in ERP systems.
Maintain shipment registers and export documentation databases.
Customer Coordination:
Coordinate with international customers regarding shipment schedules, documentation requirements, and delivery updates.
Ensure timely sharing of export documents with customers and banks.
Resolve customer queries related to shipments and documentation.
Candidate Requirements:
Graduate degree in any discipline (preferably Commerce / International Trade).
Minimum 3 years of relevant experience in Export Documentation and International Shipments.
Hands-on experience in CHA coordination and customs clearance processes.
Candidates from logistics companies, export houses, freight forwarding firms, or international trade backgrounds will be preferred.
Strong knowledge of export procedures, shipping documentation, and compliance requirements.
Working knowledge of GST, DGFT, FEMA, and export regulations.
Experience with ERP systems and MS Excel.
Strong communication, coordination, and problem-solving skills.
Immediate joiners preferred.
