Position: Dispatch Executive

Department: Logistics / Supply Chain / Warehouse

Reports To: Dispatch Manager / Logistics Manager / Store Manager

1. Job Purpose

To manage and execute the timely dispatch of finished goods by ensuring accuracy in documentation, proper packaging, vehicle coordination, and compliance with customer and company requirements.

2. Key Responsibilities

A. Dispatch Planning & Coordination

• Plan daily dispatch schedules based on customer orders and production output.

• Coordinate with production, stores, and sales teams for order readiness.

• Arrange transportation and communicate with drivers, transporters, and logistics partners.

• Ensure on-time departure and delivery of goods.

B. Documentation & Records

• Prepare dispatch documents:

  • Invoice

  • Delivery Challan

  • E-way Bill

  • Packing List

  • Transport Copy

• Maintain dispatch logs and MIS reports.

• Ensure accuracy in quantity, batch number, product details, and customer information.

C. Quality & Packing Checks

• Verify that goods are packed properly and match customer specifications.

• Check labeling, batch/lot details, expiry, and barcoding.

• Inspect cartons/pallets for damage or incorrect packing before loading.

• Coordinate with QA/QC for product clearance.

D. Loading & Material Handling

• Supervise loading activities to ensure correct products and quantities are loaded.

• Ensure safe handling of products and proper stacking inside the vehicle.

• Maintain vehicle weight limits and follow safety protocols.

E. Compliance & Safety

• Ensure compliance with transport rules (E-way bills, GST, documentation).

• Verify vehicle fitness, driver documents, and movement permits.

• Ensure the dispatch area is clean, safe, and organized.

F. Customer Coordination

• Coordinate with customers for delivery schedules, special instructions, and feedback.

• Handle issues related to delays, shortages, or transport problems.

3. Required Skills

• Knowledge of logistics, dispatch operations, and documentation.

• Working knowledge of ERP/Tally/SAP (preferred).

• Familiar with E-way bill generation and transport compliance.

• Strong communication and coordination skills.

• Attention to detail and accuracy.

• It is a Full Time Manufacturing job for candidates with 1 - 6 years of experience.
