Site Supervisor – Roles and Responsibilities.
A. Contract Conditions for On-Site Installation and Execution:
1. Study contract conditions for Installation and execution of TBL as per terms and conditions, details of location, curve, no. of trains in that section, site conditions etc.. mentioned in the contract.
2. Plan the entire activity plan on paper on base of above and prepare a preliminary to final execution report including No. of persons required, DA, TA and all related budgeted expenses be planned and presented to management.
3. Depute respective manpower allocation for base preparation as per approved method, installation of machines, filling of grease and starting the machines as per daily targeted planned as per above sheet.
4. Arranging inspection of PWI and prepare MB registers which has to be duly signed by PWI, AEN and respective Sr. Den for signatures of each installed machine.
5. Processing of the said MB to accounts for payments.
6. Arranging needful formalities are completed with each concerned in accounts and payments are cleared as per the dates given against your Targeted PMS.
7. Arranging testing of co-efficient of grease testing once in 3 months and duly reports are prepared.
B. Employing and Managing Manpower & Daily Targets:
1. Ensure Lystloc systems are followed completely without which salaries won’t be done and shall affect PMS of concerned person on your too.
Employ new persons in team based upon requirement. Manpower to be recruited as per need and due justification be given for maintenance of machine ensuring minimal attrition of employees.
Certifying vouchers as per the work attendance, machines attended and company policy.
Daily review of teams working schedule be decided previous day and accordingly deploying workers as per daily schedule.
Track productivity against targets and adjust resources.
C. Communication with Local Railway Officers:
1. Maintain one of the most healthy and cordial relations with the customer i.e. PWI, Aen, Sr Den and all respective officers of the said divisions.
Coordinate with PWI for daily/weekly scope and all that required for timely and effective help and support to complete your scope of work.
Arrange trolleys or support manpower from Railway side from installation of machines, filling of grease to maintenance of machines during the AMC period or regards any complaints regarding working or not working of the machine.
Get installation and maintenance activities acknowledged/signed in a timely manner.
Ensure no penalties are levied for whatsoever reasons it may be and proactive actions to be taken.
No payments are missed monthly for any reasons.
In case of vandalism due signatures are collected from PWI and RPF regarding sign off letter for submission to Insurance and getting the claim registered and passed.
D. Testing & Grease Filling:
1. To work out the actual consumption of grease in each machine, accordingly registers are maintained and submitted to PM. For grease refilling as mentioned above take the help of PWI trolley and manpower. Work out total cost of grease per month – actual vs planned.
Maintain records of last and next filling, cycle time and wheel count.
As per Tender conditions, Tribometer testing to done, arrange tribometer at site for testing once in 3 months, reports to be checked before submission and if all found ok to proceed with submission to all concerned i.e. PWI/AEN and ensure sign off on the reports of machines tested.
Vandalism/ Damage Handling:
1. Upon information from site, immediately inform PM and concerned PWI for sign off with RPF in case of vandalism or damage to the machines. Submit letters to Sr Den for information and knowledge, ensuring no payments are deducted or stopped to us of the said machine.
Put up the case for Insurance claim and ensure insurance surveyor visits soonest, thereby ensuring claim is passed by complying all formalities as required. Once the claim is passed the said part is replaced and machine is started. This loop is closed and details are maintained in the register.
Register the machine work once done and report to be submit to Project Manager for billing.
F. Safety Protocols:
1. Ensure railway manpower as required - No site activity is done alone with our site person (for inspection, grease filling, and maintenance) is done without Railway staff support (e.g., Keyman/Gangman)
2. Ensure trolley support wherever required from PWI/AEN for machine transport and grease refilling. No manual carrying on tracks.
3. Mobile Phones are not used while being on Track – Site Technicians must not use mobile phones while on the tracks.
4. Site Supervisor has to verify daily and weekly entries for work done.
G. Registers & Records:
1. Maintain:
PWI Registers duly signed every month clearly showing, that Machine running/working satisfactory.
CDI Register with AMC sheet – any parts that are repaired and not in function – data to be maintained and submitted to PM.
Record all services, refills, issues, and sign-offs.
H. Approval of Expense Vouchers:
1. Vouchers are approved of all the site technicians based on the above work done.
2. In case of continuous absenteeism, actions to be taken and they are called to HO for suitable actions if no improvement and if any work that remains unattended.
3. Immediate seek replacement of site technician in case of no improvement in the person thereby ensuring strict actions if work suffers. This will impact his performance and his teams.

1. To prepare MIS and Presentation to PM every Saturday of the work done in the week.
