Society Facility Supervisor – Day / Night Shift
Location: SN Residential Society, Jaipur

Number of Positions: 2
Duty: One Supervisor – Day Shift | One Supervisor – Night Shift
Shift: Rotational / As per Society Roster
Reporting To: RWA Managing Committee / Authorized RWA Representative
About the Role
We are looking for responsible, disciplined and technically capable Society Facility Supervisors to manage the day-to-day operations and maintenance activities of the residential society.
The Supervisor will be responsible for coordinating and supervising all facility teams, maintaining operational records, handling resident service requests, monitoring society infrastructure and ensuring that all essential services function smoothly.
Key Responsibilities
1. Society Operations & Supervision
Supervise the overall day-to-day functioning of the society during the assigned shift.
Ensure proper functioning and discipline of all outsourced and in-house service teams.
Coordinate with housekeeping, security, STP, electricians, plumbers, gardeners and other maintenance personnel.
Conduct regular rounds of common areas and identify maintenance or safety issues.
Ensure all complaints and maintenance requirements are properly recorded and followed up.
2. Team Management
Supervise and coordinate the following teams:
Security Guards
Housekeeping Staff
STP Operators
Electricians
Plumbers
Gardeners
Other maintenance/service personnel and vendors
Check staff attendance, punctuality, uniform, discipline and work performance.
Allocate duties and ensure proper manpower availability.
Report absenteeism, negligence or misconduct to the RWA/concerned vendor.
3. Computer & Data Management
Must be comfortable using computers and basic office applications.
Maintain daily records and reports on computer.
Update complaint/maintenance records and status.
Maintain staff attendance and duty records.
Maintain vendor/service records.
Prepare daily shift reports and incident reports.
Maintain digital records, photographs and documents as required.
Basic knowledge of MS Excel, MS Word, email and WhatsApp is required.
4. Maintenance & Technical Coordination
Monitor electrical, plumbing, water supply, drainage and other common-area maintenance.
Coordinate with electricians/plumbers/technicians for repairs.
Monitor pumps, motors, water tanks and other society equipment.
Monitor STP operations and report abnormalities immediately.
Monitor common-area lighting and electrical systems.
Coordinate preventive maintenance and emergency repairs.
Ensure complaints are resolved within the required timeframe.
5. Security & Safety
Coordinate with the security team and monitor security-related issues.
Ensure proper visitor/vehicle entry procedures are followed.
Monitor CCTV/security-related issues and immediately report abnormalities.
Handle emergency situations and inform the RWA/authorized person immediately.
Maintain records of major incidents, accidents, equipment failures and emergencies.
6. Resident Complaint Management
Receive and record maintenance-related complaints from residents.
Coordinate with the concerned team/vendor for resolution.
Track pending complaints until closure.
Maintain a proper complaint status report.
Escalate unresolved or major issues to the RWA/authorized representative.
7. Daily Reporting
The Supervisor shall prepare and submit a Daily Shift Report covering:
Staff attendance
Major complaints received/resolved/pending
Electrical/plumbing issues
STP status
Water supply status
Security incidents
Housekeeping status
Equipment breakdowns
Vendor visits
Any unusual incident or emergency
Pending work for the next shift
Night Shift Responsibilities
The Night Supervisor will additionally be responsible for:
Monitoring night security operations.
Conducting periodic rounds of the society.
Checking common-area lighting and critical equipment.
Monitoring water pumps/STP and other essential systems as applicable.
Handling night-time emergencies and coordinating with relevant personnel.
Maintaining a proper night incident and handover report for the morning supervisor.
Shift Handover
Both Supervisors must maintain proper shift-to-shift handover.
The outgoing Supervisor shall brief the incoming Supervisor regarding:
Pending complaints
Ongoing maintenance work
Equipment issues
Staff absenteeism
Vendor activities
Security incidents
Any other important matter requiring follow-up.
Required Skills & Qualifications
Minimum 12th pass; graduate preferred.
Previous experience in residential society, facility management, hotel, commercial building or similar environment preferred.
Good computer knowledge is mandatory.
Working knowledge of MS Excel, MS Word, Email and WhatsApp.
Good communication and coordination skills.
Basic understanding of electrical, plumbing, pumps, STP and general building maintenance.
Ability to supervise multiple teams simultaneously.
Ability to maintain records and prepare reports.
Responsible, punctual, disciplined and trustworthy.
Should be capable of handling emergency situations calmly.
Should be willing to work in rotational shifts, including nights, weekends and holidays as per duty roster.
Preferred Experience
Candidates with experience in:
Residential Society / Apartment Maintenance
Facility Management
Hotel / Commercial Property Operations
Integrated Facility Management
Building Maintenance
will be preferred.

Important Note
The Supervisor will act as the operational coordinator of the society during his/her assigned shift. However, major financial decisions, vendor appointments, policy decisions, disciplinary action against staff/vendors and other matters requiring RWA approval shall remain subject to approval of the RWA Managing Committee/authorized representative.
