Roles and Responsibilities of Facility Manager from E2E.
1. FM would be the first point of contact for Apartment owners or tenants in case of any Facility Issues.
2. FM would be taking care of Common Area Plumbing, Gardening and electrical issues.
3. FM would be responsible for Maintaining STP and Water Bodies, by reaching out to different vendors and getting the issues fixed. Need to ensure a regular service is done by referring to the Anual Maintenance Contracts.
4. FM Should be Aware of all the AMCs that the Facility or Association has and keep in touch with vendors to get them serviced and renew the necessary contracts under the instructions of Association.
5. Co-ordinating with different vendors when and where required (Vendor Management)
6. Have Knowledge on the Apartment Maintenance platform and assign the tickets to plumber and electrician, need to update the ticket with resolution and update the right status.
7. Sending Notices as per Association requirement and keeping the residents informed about any common area Maintenance.
8. Helping Association in office work related to Apartment and maintain Balance sheets, Collecting Maintenance, Bank Related work and any other work which Association needs help on.
9. Maintaining Bills, Balance sheets and provide them to Association whenever required.
10.Suggesting Association cost reduction solutions and implementing them.
11. Sending Daily and Monthly reports as per Association requirement.
12. Ensuring that the Swimming pool and other Amenities are properly maintained.
13. Proactively Identify the common area issues and fix them, without getting to know about the issue to any resident.
14. keep the Electro Mechanical Devises (Gen Sets and Lifts) or any other electrical devises up and running, stocking fuel and maintaining proper level.
15. Keep the necessary contacts of BBMP, BESCOM, Police, Hospital or Ambulance and Fire Department, Help the residents in case of emergency.
16. Supervising any Civil Work that is happening in the Apartment and tracking vendors.
17. Ensuring that the safety of residents is being taken care and suggest the Association in case of any measures that need to be taken.
House Keeping:
1. Maintaining the Staff and their Attendance.
2. Ensure that the right chemicals are used and get the common area cleaning as per the requirement.
3. Ensure that the House Keeping Staff is in Uniform and wearing safety measures.
4. Maintain House Keeping Consumables store keeping.
5. Briefing the Staff daily and assigning the tasks, keep a track of Daily, Weekly and Monthly tasks that need to be perform and get them done. Update the Checklist.
6. Keeping the staff up to date with the ongoing issues related to housekeeping and training them when and where necessary.
7. Ensuring that the Garbage Segregation is happening properly and training staff accordingly.
8. Ensure that the garbage Vendor is picking the Garbage regularly and inform Association in case of any issues.
9. Making a note of the flats or residents who are not following the garbage segregation rules and keep the Association updated.
Security:
1. Briefing the Security on Daily basis and ensure that all the rules are regulations of that facility are maintained.
2. Audit the Security Registers daily and taking necessary actions.
3. Ensure that the Security is attentive and assign the tasks based on need.
4. Keep the Association and E2E informed about the security issues that they are facing and get them fixed in a timely manner.
