Logistics Supervisor

1. Shipment Planning & Coordination

Determine material readiness dates with suppliers upon PO placement and schedule shipments.

Provide timely updates to buyers regarding shipment status, flight/vessel schedules, and planning timelines.

Maintain constant follow-ups with suppliers for material status and dispatch schedules.

2. Freight Management & Costing

Float inquiries for air/sea freight to CHAs/Agents and negotiate competitive rates.

Update cost sheets with freight quotations and secure management approval (Sr. Manager) before shipment execution.

3. Pre-Shipment Compliance

Follow up with suppliers for pre-shipment COA (Certificate of Analysis).

Forward pre-shipment documents to buyers for approval and issue dispatch instructions to suppliers thereafter.

4. Logistics & Transport Operations

Supervise supplier dispatch activities and arrange transport for "to-pay" materials.

Monitor dispatched material with transporters to ensure timely delivery.

5. Export Documentation & Custom Clearance

Review purchase documents from suppliers and collaborate with the Kolkata team for export documents.

Manage the CHA for custom clearance, vessel sailing, and final Bill of Lading (BL) copies.

Prepare and share post-shipment document sets with buyers and the Kolkata Head Office.

Ensure compliance with Drug, and ADC NOC requirements, resolving any customs queries promptly.

6. Vendor payment & updates

Verify CHA and transporter bills against approved quotations, resolve disputes, and submit them to accounts for payment.

Maintain and update order sheets, Export MIS, and Sample MIS.

Coordinate with agents for re-import custom clearance activities and submit all necessary documentation.

Required Skills & Qualifications

Experience in logistics, CHA operations, freight negotiation, and customs compliance.

Strong ability to coordinate between suppliers, buyers, and internal departments.

Proficient in Excel for maintaining MIS and daily trackers.
