Export Executive – Job Responsibilities

1. Export Documentation

• Prepare Proforma Invoice (PI)

• Commercial Invoice

• Packing List

• Shipping Bill

• Bill of Lading (BL) / Airway Bill (AWB)

• Certificate of Origin (COO)

• Insurance documents

• Letter of Credit (LC) documentation

• Bank negotiation documents

• Export declaration forms

2. Order Processing

• Receive export purchase orders

• Verify product availability

• Coordinate with production and warehouse

• Monitor order status until dispatch

3. Shipment Coordination

• Book shipment with freight forwarders

• Coordinate with shipping lines and airlines

• Arrange container booking

• Schedule pickup

• Track shipment until delivery

4. Customs & Compliance

• Ensure export complies with government regulations

• Coordinate with CHA (Custom House Agent)

• Maintain export compliance records

• Follow DGFT and Customs guidelines

5. Customer Coordination

• Communicate shipment schedules

• Share shipping documents

• Resolve export-related queries

• Maintain strong customer relationships

6. Logistics Coordination

• Coordinate with transporters

• Warehouse management

• Container loading planning

• Delivery scheduling

7. Payment Follow-up

• Coordinate with banks

• Track export payments

• Follow up for overdue payments

• Maintain export payment records

8. MIS & Reporting

• Export sales reports

• Shipment tracking reports

• Pending order reports

• Documentation status reports

Required Skills

• Knowledge of export documentation

• International shipping knowledge

• Customs clearance process

• DGFT regulations

• Incoterms (FOB, CIF, EXW, CFR, FCA, DDP, etc.)

• Letter of Credit (LC)

• Excellent communication skills

• Negotiation skills

• MS Excel, Word, Outlook

• ERP software (SAP, Oracle, Tally, or similar)

Educational Qualification

• Graduate in Commerce, Business, or Logistics

• MBA (International Business/Marketing) preferred

• Export-Import certification is preferred
