Roles & Responsibilities – Dispatch Executive
Order & Dispatch Coordination
Receive dispatch instructions from the concerned department/supervisor.
Verify customer/order details before dispatch.
Coordinate with Production, Sales, Accounts, and Logistics teams for timely dispatch.
Ensure dispatches are completed as per the planned schedule.
Jewellery Verification
Check jewellery pieces against the approved dispatch sheet/order.
Verify item code, quantity, gross weight, net weight, purity, stone details, and other relevant specifications.
Ensure the physical jewellery matches the system records and documents.
Report any mismatch or discrepancy immediately to the concerned senior.
Documentation
Prepare and maintain dispatch documents, challans, invoices, packing lists, and other required records.
Ensure all required approvals/signatures are completed before dispatch.
Maintain proper documentation for inward/outward movement of jewellery.
Packing & Security
Ensure jewellery is packed securely and as per company standards.
Check that packets are properly labelled and sealed.
Maintain confidentiality and strict control over jewellery movement.
Follow all company security procedures while handling gold jewellery.
Inventory & System Updates
Update dispatch details in the ERP/HRMS/Inventory system, as applicable.
Maintain accurate records of dispatched, pending, and returned jewellery.
Reconcile physical stock with system records whenever required.
Courier/Logistics Coordination
Coordinate with authorised couriers/logistics partners for collection and delivery.
Prepare shipment details and handover documents.
Track dispatched shipments and follow up on delivery status.
Immediately escalate delays, damages, missing packets, or delivery issues.
Returns & Reconciliation
Coordinate the receipt and documentation of returned jewellery.
Verify returned items against the relevant documents.
Update return details and coordinate with Production/Quality/Accounts as required.
Compliance & Controls
Follow company SOPs related to gold handling, dispatch, security, and documentation.
Ensure maker-checker/approval processes are followed wherever applicable.
Maintain proper audit trails and assist during internal/external audits.
Ensure there are no unauthorised movements of jewellery.
