Job Description – Service Coordinator (ELV & Firefighting)

Position: Service Coordinator – ELV & Firefighting
Department: Service / Operations
Reporting To: Service Manager / Project Head
Location: Office + Site Coordination
Experience: 1–2 years in ELV / Firefighting service coordination & Any
Qualification: 12th Pass & Above
Salary: 20000 to 22000

1. Job Purpose

To coordinate and manage day-to-day service activities, breakdown calls, preventive maintenance, AMC works, manpower deployment, materials, documentation, billing and customer follow-up for ELV and firefighting systems, ensuring timely completion and customer satisfaction.

2. Key Responsibilities

A. Service Coordination

• Receive and register customer service complaints and service requests.

• Prepare and maintain the daily service call tracker.

• Allocate service engineers/technicians based on priority and location.

• Coordinate with site teams for breakdown, preventive maintenance and rectification works.

• Monitor response time and closure of service calls.

• Follow up on pending/open service complaints until closure.

• Escalate critical or delayed complaints to the Service Manager.

B. Manpower Planning with Service Manager

• Prepare daily/weekly manpower deployment plans.

• Coordinate with service engineers, technicians and subcontractors.

• Monitor attendance and site deployment.

• Ensure the required manpower is available as per service commitments.

• Track productivity and completion of assigned jobs.

C. Material & Spare Management

• Prepare material/spare requirements based on service calls.

• Coordinate with Purchase/Stores for availability of materials and spares.

• Maintain a service material and spare tracker.

• Ensure proper issue and utilization of service materials.

• Track warranty/replacement requirements.

• Coordinate return of unused/replaced materials.

D. AMC & Preventive Maintenance

• Maintain AMC customer and contract database.

• Prepare monthly/quarterly preventive maintenance schedules.

• Coordinate with customers for maintenance dates.

• Ensure PM visits are completed as per contract.

• Maintain service reports, checklists and customer sign-offs.

• Track AMC expiry and renewal dates.

E. Documentation & Reporting
Maintain:

• Preventive Maintenance Tracker

• AMC Tracker

• Breakdown Report

• Material/Spare Tracker

• Manpower Deployment Report

• Service Engineer Performance Report

• Customer Complaint Tracker

• Pending Job Tracker

• Service Completion Reports

• Testing & Commissioning Reports

Prepare daily/weekly/monthly MIS reports for management.

H. Billing & Commercial Coordination

• Coordinate with the billing team for service/AMC billing.

• Collect service completion reports and customer acknowledgements required for billing.

• Track pending service invoices.

• Follow up with customers for invoice approval and payment.

• Maintain service billing and collection status.

• Coordinate preparation of quotations for additional/repair works.

• Track approved and pending additional works.

I. Customer Coordination

• Communicate with customers regarding service complaints and schedules.

• Confirm service engineer visits.

• Provide regular updates on complaint status.

• Coordinate customer inspections and joint testing.

• Ensure customer feedback is recorded.

• Escalate major customer concerns to the Service Manager.
