Position Title: Sales Coordinator / Back-Office Sales Executive

Role Summary

We are seeking a detail-oriented and proactive Sales Coordinator to handle our sales operations, order processing, and client coordination. The ideal candidate will serve as the core link between our field sales team, production plant, dispatch team, and clients to ensure smooth B2B operations and timely delivery.

Key Responsibilities

1. Quotation & Order Processing

• Prepare accurate cost estimation sheets, formal technical quotations, Proforma Invoices (PI), and Purchase Orders (PO).

• Log incoming client inquiries, project specifications, and RFQs (Request for Quotations) into the database/ERP.

• Coordinate directly with internal estimation and technical engineering teams for accurate product pricing.

2. Internal Coordination & Dispatch

• Communicate daily with the factory/production and dispatch teams to monitor product assembly, stock availability, and delivery schedules.

• Generate dispatch documentation, including tax invoices, delivery challans, and E-Way bills.

• Track consignments and resolve logistical delays to ensure on-time delivery to customer sites.

3. Customer Relationship & Follow-ups

• Act as the primary point of contact for customer queries regarding order status, quotation revisions, and payment follow-ups.

• Maintain regular follow-ups on pending quotes, active payment collections, and outstanding client balances.

4. Sales Reporting & MIS Maintenance

• Maintain up-to-date sales pipeline reports, customer databases, and inquiry logs in MS Excel / ERP / Tally.

• Prepare periodic MIS reports (Weekly/Monthly sales analysis, pending order statuses) for the Sales Head/Management.

Candidate Requirements & Qualifications

• Education: Graduate in any stream (B.Sc, B.Com, B.E., or Diploma in Mechanical/Electrical is a plus).

• Experience: Minimum 2+ years of core experience in B2B sales coordination, back-office sales support, or order processing within a Manufacturing or Industrial sector.

• Technical Skills:

  • Proficiency in MS Office (Advanced MS Excel – VLOOKUP, Pivot Tables), Tally, or ERP systems.

  • Knowledge of commercial tax terms (GST), invoicing, and dispatch documentation.

• Language & Communication: Strong written and verbal communication skills in English, Hindi, and Marathi.

• Location Preference: Candidates residing in Navi Mumbai, Thane, or nearby accessible areas (close to Mahape MIDC).
