We are seeking a highly organized and proactive Backend Sales Coordinator to support our sales operations, client servicing, vendor coordination, and order management processes. The ideal candidate will be responsible for handling quotations, order processing, client communication, vendor follow-ups, MIS reporting, and logistics coordination. Experience in corporate gifting, promotional products, or customized merchandise will be an added advantage.
Key Responsibilities
Sales Coordination
Prepare and send quotations, proposals, and pricing sheets.
Process customer orders and ensure timely execution.
Coordinate with the sales team for order updates and customer requirements.
Maintain sales records, order trackers, and customer databases.
Manage customer inquiries, RFQs (Request for Quotations), and follow-ups.
Client & Vendor Communication
Draft professional emails and business correspondence.
Coordinate with clients through email, phone calls, and WhatsApp.
Liaise with vendors for product sourcing, pricing, and availability.
Collaborate with internal teams including sales, procurement, production, and logistics.
MIS Reporting & Data Management
Prepare daily, weekly, and monthly MIS reports.
Maintain accurate sales data and records.
Track sales pipelines and order status reports.
Perform data analysis using Excel functions such as VLOOKUP, Pivot Tables, Filters, and Lookup Functions.
Vendor & Procurement Coordination
Source products and services from vendors.
Compare quotations and negotiate pricing.
Follow up on production schedules and delivery timelines.
Ensure timely procurement to meet customer commitments.
Corporate Gifting & Product Knowledge
Understand corporate gifting products and customization options.
Coordinate branding requirements such as Printing, Engraving, Embroidery, UV Printing, and Packaging.
Manage product customization processes and quality checks.
Monitor MOQ (Minimum Order Quantity), lead times, and logistics requirements.
Logistics & Dispatch Coordination
Coordinate courier and transport services.
Track shipments and delivery status.
Maintain dispatch records and proof of deliveries.
Coordinate deliveries across multiple locations and ensure timely execution.
Documentation & Administrative Support
Maintain proper documentation of orders, invoices, quotations, and vendor records.
Ensure accuracy and completeness of all sales-related documentation.
Support management with reports and operational tasks as required.
Required Skills & Qualifications
Technical Skills
Proficiency in Microsoft Excel (Advanced), Word, and PowerPoint.
Strong knowledge of Google Sheets.
Experience with CRM software is preferred.
Ability to generate MIS reports and maintain databases.

Education & Experience
