Process Coordinator - Sales Department (Lead Conversion)
Vrinda Papers Pvt. Ltd. is seeking a detail-oriented Process Coordinator for the Sales
Department's Lead Conversion function. This role is essential in ensuring the effective
management of the lead conversion process from initial inquiry through to successful
closure. The Process Coordinator will work closely with the sales team to streamline
processes, track lead progression, and ensure a smooth transition from qualified leads
to closed sales, thereby contributing to overall revenue growth.
Key Responsibilities:
1.Lead Conversion Process Management:
○Oversee the entire lead conversion process, ensuring that leads are
transitioned efficiently through the sales pipeline.
○Work closely with the sales team to ensure timely follow-ups and ensure
that leads are actively pursued and nurtured to close deals.
○Identify any bottlenecks or gaps in the lead conversion process and work
to streamline and optimize it.
2.Collaboration with Sales Team:
○Coordinate with sales executives to ensure they have the necessary tools,
information, and support to convert leads into sales opportunities.
○Provide guidance on best practices for lead nurturing, qualification, and
conversion.
○Ensure effective communication between sales and other departments
(e.g., marketing, production, logistics) for smooth lead conversion.
3.CRM Management and Data Accuracy:
○Maintain and update accurate records of all lead conversion activities in
the CRM system (e.g., Salesforce, HubSpot).
○Monitor the progress of leads, ensuring that all relevant interactions,
follow-ups, and details are logged.
○Ensure proper data entry, flagging any discrepancies or missing
information that could hinder the conversion process.
4.Sales Reporting & Metrics:
○Track key performance indicators (KPIs) related to lead conversion rates,
conversion timelines, and overall sales performance.
○Prepare regular reports on conversion rates, sales team performance, and
pipeline health to share with management.
○Analyze data to identify trends, success factors, or areas for improvement
in the lead conversion process.
5.Process Optimization and Continuous Improvement:
○Continuously evaluate and optimize lead conversion strategies to improve
efficiency and effectiveness.
○Suggest and implement improvements to existing processes, tools, and
techniques to increase the rate of successful lead conversion.
○Participate in brainstorming sessions with sales and marketing teams to
develop new strategies for improving lead conversion.
6.Client Interaction & Follow-up:
○Assist the sales team in the follow-up process to ensure that no lead is
neglected and all potential opportunities are maximized.
○Support in resolving client queries and ensuring a positive experience
during the lead conversion phase.
○Ensure that clients are promptly provided with necessary product
information, pricing details, and other materials to facilitate the decision-
making process.
7.Training & Support:
○Provide training and support to sales staff on the lead conversion process,
tools, and best practices.
○Offer troubleshooting and process support when issues arise in lead
conversion.
○Help the team stay updated on industry trends, tools, and methods to
enhance conversion effectiveness.
8.Collaboration with Marketing:
○Work closely with the marketing team to align lead generation and
conversion strategies.
○Ensure that the sales team is provided with high-quality leads that are
ready for conversion.
○Provide feedback to marketing on the quality and effectiveness of leads
generated, influencing future marketing campaigns.
Skills & Qualifications:
●Bachelor’s degree in Business Administration, Sales, Marketing, or a related
field.
●2-4 years of experience in sales operations, process management, or lead
conversion.
●Strong understanding of CRM systems (e.g., Salesforce, HubSpot) and sales
pipeline management.
●Exceptional attention to detail and strong organizational skills.
●Ability to work under pressure and manage multiple tasks effectively.
●Strong communication and interpersonal skills for cross-functional collaboration.
●Analytical mindset with the ability to assess data and identify areas for
improvement.
●Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
●Results-oriented with a focus on achieving sales goals and improving conversion
rates.
Preferred:
●Experience in the paper or manufacturing industry is a plus.
●Familiarity with lead generation and conversion tools such as email automation,
sales engagement platforms, and marketing automation tools.
●Process improvement or Lean Six Sigma certification is a plus.
