Job Title: Service Coordinator cum Front Desk Executive

Job Overview:
The Service Coordinator cum Receptionist will serve as the first point of contact for clients and visitors, while also managing and coordinating after-sales services. This dual-role position requires a balance between front desk duties, including greeting visitors, answering calls, and managing incoming courier services, as well as overseeing after-sales coordination by tracking service requests, assigning tasks to technicians, and ensuring timely completion of service jobs.
Key Responsibilities:
A. After-Sales Service Coordination:
Customer Service Management:
• Maintain detailed customer service records and logs.
• Contact clients post-sale to ensure satisfaction and address any service needs.
• Respond to client inquiries within 2 hours and resolve issues within 48 hours.
Service Scheduling & Tracking:
• Assign service tasks to technicians based on job priority and skillset.
• Track the progress of service jobs and ensure timely completion.
• Ensure technicians have the necessary materials and parts for the job.
Follow up with technicians to ensure timely service delivery.
Feedback and ratings from clients post-service completion
• Handle service complaints efficiently and escalate issues when necessary.
• Coordinate with sales and technical teams to resolve complex service issues.
B. Reception and Front Office Management:
Visitor & Call Management:
• Greet and attend to visitors and clients in a professional and courteous manner.
• Answer incoming calls, direct them to the appropriate department, and take messages when necessary.
Administrative Support:
• Handle incoming and outgoing materials and ensure proper documentation.
Office opening and closing.
• Maintain cleanliness and orderliness of the front desk area.
• Monitor the visitor logbook and issue visitor passes as required.
• Perform general administrative tasks as assigned by the management team.
C. General Coordination:
Team Communication:
• Collaborate with the service and technical teams to ensure smooth operations.
• Follow up with technicians to ensure timely service delivery.
• Report any delays or escalations to the management team.
Required Skills & Qualifications:
Experience:
• Previous experience in a service coordination or receptionist role• Familiarity with customer service, handling service requests, and managing office tasks.
Skills:
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficient in Microsoft Office (Excel, Word, Outlook) and other relevant software tools.
• Ability to handle pressure, prioritize tasks, and resolve issues promptly.
• Professional phone etiquette and front-office management skills.
