Job Summary
Oorjita Projects Private Limited is looking for a smart, organized, responsible, and proactive Personal Assistant to the Managing Director. The candidate will support the MD in managing day-to-day schedules, meetings, communications, documentation, follow-ups, and coordination with internal teams and external stakeholders.
This position is suitable for a fresher or candidate with up to one year of experience who has strong communication skills, attention to detail, confidentiality, and the ability to handle multiple priorities professionally.
Key Responsibilities
Manage the Managing Director’s daily calendar, appointments, meetings, and reminders.
Schedule and coordinate internal and external meetings.
Maintain meeting agendas and take Minutes of Meetings (MOM) when required.
Track action points, deadlines, and commitments arising from meetings and regularly follow up with concerned teams.
Coordinate with department heads, employees, clients, vendors, consultants, and other external stakeholders on behalf of the MD.
Handle phone calls, emails, correspondence, and routine communication professionally.
Prepare letters, emails, presentations, reports, meeting notes, and other business documents.
Maintain confidential documents, records, contact details, and important information in an organized manner.
Assist the MD with daily task planning and ensure important priorities and deadlines are not missed.
Arrange travel, accommodation, transportation, and itineraries whenever required.
Collect information and status updates from different departments and present them to the MD in a clear and concise manner.
Assist in coordinating management reviews, project meetings, client meetings, and other business activities.
Maintain proper filing and retrieval of physical and digital documents.
Perform basic research and prepare summaries or information required by the MD.
Handle sensitive and confidential information with complete discretion.
Undertake other administrative and coordination responsibilities assigned by the Managing Director.
Candidate Profile
Education: Any Bachelor’s degree. BBA, B.Com, BA, B.Sc, MBA or related qualifications may be preferred.
Experience: 0–1 year. Freshers with good communication and organizational skills are encouraged to apply.
Required Skills
Good verbal and written communication skills in English; knowledge of Telugu and/or Hindi will be an advantage.
Good working knowledge of MS Office – Word, Excel, PowerPoint and Outlook/email.
Strong organizational and time-management skills.
Ability to prepare professional emails, documents, reports, and meeting notes.
Good follow-up and coordination skills.
Ability to multitask and work according to changing priorities.
