Position Summary:
As a Senior Payroll Executive, you will be responsible for the end-to-end payroll operations of our contract workforce across different geographies, ensuring 100% accuracy, compliance with statutory laws, and timely disbursal. You will work closely with cross-functional teams—HR operations, compliance, client SPOCs, and finance—to deliver a smooth payroll experience to thousands of deployed staff. This role requires strong analytical skills, legal knowledge, and hands-on experience with complex payroll systems.
Key Responsibilities:
1. Payroll Processing:
Process monthly payroll for 1000+ contract employees across various clients and industries.
Collate data from attendance systems, client portals, and internal HRMS.
Validate working hours, overtime, shift allowances, deductions, reimbursements, and variable pay components.
Maintain records of new joinees, exits, transfers, and mid-cycle changes.
Perform pre-payroll validations and coordinate with clients to resolve discrepancies.
Ensure timely salary processing, disbursement, and payslip generation.
2. Compliance and Statutory Filings:
Calculate and deduct statutory contributions (PF, ESI, PT, LWF, TDS) as per applicable laws.
File returns and upload challans (ECR filing for EPFO, ESIC portal uploads, PT returns, etc.).
Liaise with government bodies and ensure 100% legal compliance in payroll practices.
Maintain compliance documentation for internal and external audits.
3. Full and Final (F&F) Settlement:
Process exits payrolls, F&F settlements, and related clearances.
Calculate notice pay, earned leave, pending reimbursements, and tax liabilities.
Generate experience letters, relieving letters, and exit payslips as required.
4. Reporting and MIS:
Generate monthly, quarterly, and annual payroll reports.
Provide salary registers, CTC breakup reports, and audit trail reports.
Prepare reconciliations between HR, payroll, and finance systems.
Support internal audits, statutory audits, and client audits.
5. Client and Employee Support:
Handle payroll-related queries from deployed employees in a timely and professional manner.
Coordinate with client HR teams for timesheet approval, onboarding, and payroll closure.
Conduct periodic audits and feedback sessions with clients on payroll SLAs and deliverables.
6. System & Process Management:
Operate and maintain HRMS/payroll tools (e.g., GreytHR, Spine, Saral, or similar).
Identify gaps in the payroll process and recommend automation or improvement measures.
Work with IT and HR tech teams for integration and troubleshooting.
Qualifications:
Bachelor’s degree in Commerce, Accounting, HR, or equivalent.
Preferably a PG Diploma or Certification in Payroll Management or Labor Laws.
Experience:
4–7 years of payroll experience, preferably in a contract staffing, manpower outsourcing, or EOR (Employer of Record) environment.
Experience in handling multi-client payroll operations and statutory filings.
Hands-on knowledge of state-wise compliance variations across India.
Skills & Competencies:
In-depth understanding of Indian payroll processes and labor laws.
Proficiency in Excel (advanced formulas, pivot tables, macros preferred).
Strong familiarity with PF, ESI, TDS, Bonus Act, Gratuity Act, Maternity Benefit Act, and state labor regulations.
Excellent written and verbal communication skills.
High attention to detail and integrity in handling confidential information.
Ability to work under tight deadlines and manage multiple priorities.
Strong problem-solving and analytical skills.
