Job Summary
We are looking for an experienced and responsible Human Resources Manager to manage the complete HR and employee administration functions of our cold storage facility. The HR Manager will work closely with the Operations, Maintenance, Security, and Management teams to ensure adequate manpower, smooth shift operations, employee discipline, statutory compliance, and a safe and productive workplace.
The role will involve managing both permanent and contract/temporary employees, particularly warehouse, loading/unloading, forklift, refrigeration, maintenance, security, housekeeping, and administrative staff.
Key Responsibilities
1. Recruitment & Manpower Planning
Plan manpower requirements in coordination with the Operations and Warehouse teams.
Recruit employees for warehouse, loading/unloading, maintenance, refrigeration, security, housekeeping, and administrative functions.
Manage the complete recruitment process, including sourcing, screening, interviews, selection, documentation, and joining formalities.
Maintain an adequate workforce for different shifts and seasonal business requirements.
Coordinate with manpower contractors and agencies where applicable.
2. Attendance, Shifts & Leave Management
Monitor daily attendance, absenteeism, overtime, shift schedules, and leave records.
Ensure adequate manpower availability for all shifts, including night shifts and peak-season operations.
Maintain accurate attendance and overtime records.
Coordinate with supervisors regarding manpower shortages and replacement requirements.
Manage employee leave and attendance policies.
3. Employee Relations & Discipline
Handle employee grievances, complaints, disputes, and disciplinary matters.
Maintain discipline and ensure compliance with company rules and procedures.
Conduct employee counselling and support resolution of workplace issues.
Promote a positive and respectful work environment.
Maintain proper records of disciplinary actions and employee communications.
4. Payroll & Compensation
Coordinate monthly payroll processing based on attendance, overtime, incentives, deductions, and approved leave.
Verify payroll inputs and resolve employee salary-related queries.
Manage salary revisions, incentives, advances, and other employee benefits as applicable.
Coordinate with accounts/finance for timely salary processing.
5. Statutory & Labour Compliance
Ensure compliance with applicable labour and employment laws.
Maintain required employee registers, records, licenses, and statutory documentation.
Coordinate compliance related to PF, ESI, gratuity, bonus, minimum wages, professional tax, labour welfare requirements, and other applicable regulations.
Coordinate with labour contractors to ensure compliance for contract workers.
Support labour inspections, audits, and statutory documentation whenever required.
6. Employee Safety & Welfare
Work closely with the Operations and Safety teams to promote workplace safety.
Ensure employees receive appropriate safety training and PPE where required.
Maintain records of safety training, incidents, and corrective actions.
Support accident/incident reporting and employee welfare initiatives.
Pay particular attention to employees working in cold rooms, loading areas, machinery areas, and other operational zones.
7. Training & Development
Identify training requirements for employees and supervisors.
Organize induction and orientation programs for new employees.
Coordinate training on workplace safety, cold-storage procedures, hygiene, emergency response, equipment handling, and company policies.
Maintain training records and monitor completion.
8. HR Administration
Maintain employee personal files, appointment letters, ID records, attendance records, and other HR documentation.
Issue appointment letters, confirmation letters, experience letters, warning letters, and other HR documents.
Maintain employee databases and HR reports.
Ensure confidentiality and security of employee information.
Implement and maintain HR policies and procedures.
9. Performance Management
Coordinate employee performance appraisal and review processes.
Work with department heads to establish performance objectives.
Monitor employee performance, productivity, attendance, and conduct.
Identify high-performing employees and recommend appropriate recognition or development opportunities.
10. Employee Engagement & Retention
Develop initiatives to improve employee morale, engagement, and retention.
Conduct regular employee interactions and feedback sessions.
Organize employee welfare and engagement activities.
Identify causes of employee turnover and recommend corrective actions.
11. Exit & Separation Management
Manage resignation, notice period, clearance, and full-and-final settlement processes.
Conduct exit interviews and maintain separation records.
Analyze employee turnover and recommend retention measures.
Ensure proper handover of company property, ID cards, uniforms, and other assets.
Key Requirements
Bachelor’s/Master’s degree in Human Resources, Business Administration, or a related field.
5–10 years of HR experience, preferably in cold storage, warehousing, logistics, manufacturing, food processing, or a similar operational environment.
Experience managing shift-based and large frontline workforces.
Good knowledge of recruitment, attendance, payroll coordination, employee relations, and labour compliance.
Experience handling contract labour and manpower agencies is preferred.
Strong communication and interpersonal skills.
Good knowledge of MS Excel, MS Office, and HRMS/payroll systems.
Ability to work independently and coordinate effectively with Operations and Management.
Strong problem-solving, leadership, and conflict-resolution skills.
