Role Summary
The Junior Payroll cum Statutory Compliance Officer will process monthly payroll accurately and on time. They will also handle statutory registrations, filings, and records under applicable labour and tax laws, so that the company stays compliant and audit-ready.
Key Responsibilities
1. Payroll Processing
Collect and verify attendance, overtime, leave, and shift data from the plant and office.
Prepare monthly salary, incentives, deductions, arrears, and advances for staff and workers.
Process new joiner, exit, and full-and-final settlement calculations.
Prepare salary sheets and bank transfer files, and issue payslips.
Maintain employee master data, salary structures, and payroll records.
Reconcile payroll with attendance and accounts, and resolve employee payroll queries.
2. Statutory Compliance
Calculate, remit, and file monthly returns for PF (EPF) and ESIC, including ECR uploads and challans.
Handle Professional Tax registration, payment, and returns as per Maharashtra rules.
Handle Labour Welfare Fund contributions and filings.
Support TDS on salary computation, deduction, and deposit, along with quarterly returns and Form 16 preparation, in coordination with the accounts team.
Ensure compliance with the Payment of Bonus, Payment of Gratuity, minimum wages, and contract labour requirements, as applicable.
Maintain statutory registers, records, and notices as required under the applicable labour laws, Factories Act, and Shops & Establishments rules.
Track due dates and maintain a monthly compliance calendar.
3. Liaison and Audit Support
Coordinate with the EPFO, ESIC, Labour Department, and other authorities, and with consultants.
Support internal, statutory, and labour inspections by providing records and replies.
Keep the company updated on changes in labour laws and labour codes, and flag their impact to management.
4. Documentation and Reporting
Prepare monthly MIS on headcount, payroll cost, attrition, and compliance status.
Maintain employee files (appointment letters, KYC, UAN/ESIC numbers, nominations, etc.).
Keep proper soft and hard copies of all challans, returns, and acknowledgements.
Required Qualifications and Experience
Graduate in Commerce, Management, or HR (B.Com / BBA / BMS). MBA (HR) or a payroll/labour law certification is an advantage.
1 to 3 years of experience in payroll and statutory compliance, preferably in a manufacturing or plant setup.
Freshers with strong knowledge of PF, ESIC, and payroll may also be considered.
Skills and Competencies
Working knowledge of PF, ESIC, PT, LWF, TDS on salary, Bonus, and Gratuity.
Proficiency in MS Excel (VLOOKUP/XLOOKUP, pivot tables) and payroll or HRMS software (Tally, Zoho Payroll, greytHR, or similar).
Good numerical accuracy and attention to detail.
Ability to maintain confidentiality of salary and personal data.
Good communication in English, Hindi, and Marathi.
Ability to meet deadlines, especially during month-end.
