The HR Executive – Back Office will be responsible for handling end-to-end HR operations including recruitment, attendance management, payroll processing, statutory compliance, joining formalities, and client coordination. The role requires strong administrative skills, accuracy, and the ability to manage HR operations for site-based manpower.
Key Responsibilities:
1. Recruitment & Hiring
End-to-end recruitment for security guards, housekeeping staff, and office employees
Screening resumes, scheduling interviews, and coordinating with operations team
Maintaining recruitment trackers and manpower requirement reports
2. Joining & Documentation
Handling employee joining formalities and induction
Collection and verification of documents (Aadhar, PAN, Bank, Education, etc.)
Preparation of appointment letters and employee files
3. Attendance Management
Daily attendance tracking for multiple sites
Follow-up with site supervisors for absenteeism and OT data
Maintaining attendance records accurately in Excel / HR software
4. Payroll Processing
Assisting in monthly salary preparation
Calculating attendance-based salaries, overtime, deductions, and incentives
Coordinating with accounts for timely salary disbursement
5. HR Compliance
Supporting PF, ESI, Bonus, Minimum Wages compliance
Maintaining statutory registers and records
Assisting during labour inspections or audits
6. Client Handling & Coordination
Coordinating with clients for manpower attendance, replacements, and escalations
Responding to HR-related client queries professionally
Supporting smooth HR operations at client sites
7. HR Administration & Reporting
Maintaining employee database and MIS reports
Preparing daily, weekly, and monthly HR reports
Ensuring accuracy and confidentiality of HR records
Required Skills & Competencies:
Knowledge of recruitment & payroll basics
Understanding of PF, ESI, and labour compliance
Proficiency in MS Excel and HR documentation
Good communication and coordination skills
Ability to handle pressure during payroll and recruitment cycles
Attention to detail and strong follow-up skills
Educational Qualification:
Graduate in any discipline
MBA / PG Diploma in HR preferred
