Job Summary:
To manage and support all plant-level HR administrative and operational activities, ensuring statutory compliance, smooth employee lifecycle management, accurate HR records, and effective coordination with payroll and plant operations.
Key Responsibilities:
HR Administration:
• Maintain employee personal files, appointment letters, confirmations, increment letters, and other HR documentation.
• Manage attendance, shift rosters, leave records, and overtime data for plant employees.
• Update and maintain HR registers and MIS reports on a regular basis.
• Ensure compliance with statutory requirements including PF, Professional Tax, Factory Act, Shops & Establishment Act, and other applicable labour laws.
• Coordinate with consultants and government authorities for inspections, audits, and statutory submissions.
• Maintain statutory registers, returns, and records as per legal requirements.
Payroll Coordination:
• Coordinate with payroll team/consultant by sharing accurate attendance, leave, and deduction data.
• Verify payroll inputs and support timely salary disbursement.
• Address payroll-related employee queries and discrepancies.
• Onboarding & Exit Management
• Support end-to-end onboarding including documentation, ID cards, biometrics, induction coordination, and policy briefing.
• Handle employee exit formalities such as resignation processing, clearance, final settlement coordination, and exit documentation.
• Contract Labour & Visitor Management
• Manage contractor documentation, labour licenses, agreements, and attendance records.
• Ensure contractor and contract labour compliance with statutory norms.
• Oversee visitor management, gate passes, and coordination with security team.
Employee Support & Coordination:
• Act as the first point of contact for plant employees for HR-related queries.
• Support grievance handling and employee engagement initiatives at plant level.
• Coordinate with department heads and supervisors on HR-related matters.
General HR Operations:
• Support audits, ISO / QMS / safety audits related to HR documentation.
• Assist in implementation of HR policies, procedures, and plant rules.
• Maintain discipline, code of conduct, and support shop-floor HR requirements.
Qualifications & Skills:
• MBA in HR, Personnel Management, or related field.
• 2–5 years of experience in manufacturing / plant HR administration.
• Basic knowledge of labour laws and statutory compliance.
• Experience in handling plant attendance systems and payroll coordination.
• Strong documentation, communication, and coordination skills.
• Proficient in MS Excel and HR MIS.
Education:
• Postgraduate (MBA is highly desirable)
