Job Summary
The HR & Admin Executive is responsible for managing day-to-day human resource and administrative operations. This role supports recruitment, employee lifecycle management, payroll coordination, statutory compliance, office administration, vendor coordination, asset management, and workplace facilities to ensure efficient business operations.
Key Responsibilities
Human Resources
Manage recruitment, screening, interview scheduling, and onboarding.
Prepare offer letters, appointment letters, employment contracts, and employee documentation.
Maintain employee records and HR databases.
Monitor attendance, leave, overtime, and shift schedules.
Coordinate payroll inputs with the finance team.
Support employee performance appraisal and confirmation processes.
Handle employee grievances and disciplinary matters in line with company policies.
Coordinate employee engagement activities and training programmes.
Ensure compliance with labour laws and company HR policies.
Manage employee exit formalities, clearance, and full-and-final settlement.
Administration
Oversee daily office administration and housekeeping.
Manage office supplies, stationery, and pantry inventory.
Coordinate maintenance of office equipment and facilities.
Supervise security, housekeeping, and support staff.
Maintain office assets and asset registers.
Coordinate travel, accommodation, and transport arrangements.
Manage courier services, incoming and outgoing correspondence, and document filing.
Coordinate with vendors for office services and maintenance.
Monitor utility bills and administrative expenses.
Ensure office safety, cleanliness, and compliance with workplace standards.
Vendor & Facility Management
Maintain vendor databases and service contracts.
Obtain quotations and process purchase requests.
Coordinate annual maintenance contracts (AMCs).
Monitor vendor performance and service quality.
Ensure timely renewal of licences, contracts, and insurance.
Compliance & Documentation
Maintain HR and administrative records.
Support statutory inspections and internal audits.
Prepare monthly HR and administration reports.
Ensure confidentiality of employee and company information.
Required Qualifications
Bachelor's degree in Human Resources, Business Administration, or a related field.
MBA or PG Diploma in Human Resource Management is preferred.
Experience
2–5 years of experience in HR and Administration.
Experience in interior fit-out, construction, manufacturing, or corporate administration is preferred.
Skills
Strong communication and interpersonal skills.
Good organisational and multitasking abilities.
Knowledge of labour laws and HR practices.
Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Familiarity with HRMS and payroll software.
Vendor management and negotiation skills.
