HR/Admin Executive – Roles & Responsibilities
1. HR Operations
Manage day-to-day HR activities and employee records.
Maintain employee personal files, attendance, leave, and joining documents.
Handle employee onboarding, induction, and exit formalities.
Prepare appointment letters, confirmation letters, experience letters, and other HR documents.
Maintain and update HR databases and records.
Coordinate employee grievances and provide appropriate support.
2. Recruitment
Coordinate recruitment activities as per company requirements.
Prepare and post job descriptions on recruitment portals.
Screen CVs and shortlist suitable candidates.
Schedule interviews and coordinate with department heads.
Conduct initial HR discussions with candidates.
Complete joining formalities and maintain recruitment records.
3. Attendance & Payroll Support
Monitor daily attendance, late coming, and absenteeism.
Maintain leave records and prepare monthly attendance reports.
Coordinate with the Accounts/Finance team for payroll processing.
Verify employee salary-related data and required deductions.
Maintain overtime and incentive records, where applicable.
4. Administration
Manage general office administration and daily operational activities.
Maintain office supplies, stationery, and administrative records.
Coordinate with vendors, service providers, and housekeeping/security staff.
Support office maintenance and facility management.
Maintain proper filing and documentation systems.
Organize meetings, employee events, and internal activities.
5. Compliance & Policies
Support implementation of company HR policies and procedures.
Maintain statutory and compliance-related HR records.
Ensure proper documentation for employee-related matters.
Assist management in implementing disciplinary procedures when required.
6. Employee Engagement
Support employee engagement and welfare activities.
Coordinate celebrations, meetings, training programs, and employee events.
Promote a positive and professional workplace environment.
Maintain effective communication between employees and management.
Freshers – HR/Admin Executive Responsibilities
Freshers can be given the following responsibilities with proper training:
Assist in maintaining employee records and HR documentation.
Support recruitment and interview scheduling.
Make recruitment calls and coordinate with candidates.
Assist with employee joining and onboarding formalities.
