Position: HR & Admin Executive / Manager

Position Overview
We are looking for a responsible and experienced HR & Admin professional to manage day-to-day HR operations, employee administration, recruitment, attendance, payroll coordination, statutory compliance, and overall office/factory administration.
The candidate should have strong communication and coordination skills and the ability to independently manage HR & Admin activities in a manufacturing environment.
Key Responsibilities
1. Recruitment & Hiring
Handle the complete recruitment process from job posting to joining.
Source candidates through job portals, consultants, references, and other channels.
Screen CVs and conduct initial interviews.
Coordinate technical and management interviews.
Prepare offer letters, appointment letters, and joining documents.
Maintain recruitment and joining records.
2. Employee Management
Maintain employee personal files and HR records.
Manage employee joining, confirmation, transfer, promotion, and exit formalities.
Maintain employee database and HR documentation.
Handle employee queries and resolve HR-related issues.
Coordinate employee engagement and welfare activities.
3. Attendance & Leave Management
Monitor daily attendance, late coming, absenteeism, and overtime.
Maintain leave records and prepare monthly attendance reports.
Coordinate attendance and payroll data with the accounts/payroll team.
Ensure employees follow company attendance policies.
4. Payroll & Salary Coordination
Prepare monthly payroll inputs.
Verify attendance, leave, overtime, incentives, deductions, and other salary components.
Coordinate with the Accounts Department for timely salary processing.
Maintain salary and payroll-related records.
5. Statutory Compliance
Coordinate compliance related to PF, ESI, Professional Tax, Labour Laws, and other applicable statutory requirements.
Maintain statutory registers and employee documentation.
Coordinate with consultants for statutory filings and compliance.
Ensure company HR policies comply with applicable labour regulations.
6. Factory / Office Administration
Manage day-to-day administrative activities of the office/factory.
Coordinate housekeeping, security, canteen, transport, maintenance, and other facilities.
Maintain office/factory records and administrative documents.
Monitor attendance and discipline of staff and workers.
Coordinate procurement of office and administrative requirements.
7. Employee Discipline & Policies
Implement company HR policies and procedures.
Ensure employees follow company rules and regulations.
Handle disciplinary matters in coordination with management.
Issue warning letters, show-cause notices, and other HR communications when required.
Maintain proper documentation of disciplinary actions.
8. Performance Management
Coordinate employee performance reviews and appraisal processes.
Maintain probation and confirmation records.
Track employee performance and feedback.
Coordinate with department heads regarding employee performance issues.
9. Employee Exit & Full & Final Settlement
Manage resignation and termination formalities.
Conduct exit interviews where required.
Coordinate handover and clearance procedures.
Prepare full & final settlement inputs.
Issue relieving and experience letters after completion of formalities.
10. HR MIS & Reporting
Prepare and maintain regular HR reports such as:
Employee Headcount
Attendance Report
Leave Report
Recruitment Status
Employee Joining & Exit Report
Overtime Report
Payroll Inputs
Manpower Requirement
Attrition Report
HR Cost / Salary Reports
Required Skills
Strong knowledge of HR & Admin processes.
Good knowledge of recruitment and employee management.
Working knowledge of payroll and attendance systems.
Knowledge of labour laws and statutory compliance.
Good communication and interpersonal skills.
Strong documentation and record-keeping skills.
Good knowledge of MS Excel, Word, and HR software.
Ability to handle confidential employee information.
Strong problem-solving and coordination skills.
Ability to work independently and manage multiple responsibilities.
Qualification
MBA/PGDM in HR, MSW, or equivalent qualification preferred.
Preferred Experience
Experience in a manufacturing/factory environment will be preferred, especially candidates who have handled both HR and Administration functions.
