Job Summary
We are looking for an experienced and responsible Assistant Manager – HR & IR to manage HR operations and employee relations at our manufacturing facility. The role will be responsible for workforce management, recruitment, attendance, payroll coordination, employee grievances, disciplinary matters, statutory compliance and labour relations.
Key Responsibilities
1. HR Operations
Manage day-to-day HR activities for factory and office employees.
Maintain employee records, joining documentation and HR files.
Monitor attendance, leave, shift schedules and manpower requirements.
Coordinate monthly payroll inputs, overtime, incentives and deductions.
Ensure proper employee onboarding and exit formalities.
2. Recruitment & Manpower Planning
Coordinate recruitment for operators, helpers, supervisors, staff and other factory positions.
Plan manpower requirements based on production needs.
Coordinate with recruitment agencies, job portals and local sourcing channels.
Conduct initial screening and coordinate interviews and joining.
3. Industrial Relations (IR)
Maintain positive relationships with workers and supervisors.
Handle employee grievances, complaints and workplace issues.
Address absenteeism, discipline and behavioural issues.
Support management in disciplinary proceedings and warning letters.
Monitor employee satisfaction and workplace relations.
4. Labour Law & Statutory Compliance
Ensure compliance with applicable labour laws and factory regulations.
Coordinate PF, ESI, Professional Tax, Bonus, Gratuity, Minimum Wages and other statutory requirements.
Maintain statutory registers and employee documentation.
Coordinate labour/factory inspections and statutory audits.
Ensure timely submission of required statutory records and returns.
5. Attendance & Workforce Management
Monitor biometric attendance and daily absenteeism.
Track manpower availability and support production teams in maintaining required workforce.
Prepare daily/weekly manpower and absenteeism reports.
Monitor overtime and shift attendance.
6. Employee Welfare
Coordinate employee welfare activities and facilities.
Handle matters related to canteen, transportation, hostel and other employee facilities, where applicable.
Support employee engagement and welfare initiatives.
Ensure proper communication of company policies and HR notices.
7. HR Policies & Discipline
Implement company HR policies and procedures.
Ensure employees follow attendance, leave, uniform and workplace discipline policies.
Issue and maintain records of warning letters, show-cause notices and disciplinary actions.
Maintain confidentiality of employee and company information.
Required Skills
Strong knowledge of HR & Industrial Relations in a manufacturing environment
Good knowledge of labour laws and statutory compliance
Experience in handling blue-collar / workforce employees
Strong communication and grievance-handling skills
Good negotiation and conflict-resolution abilities
Good knowledge of MS Excel and any HRMS software
Ability to manage manpower and work effectively with production teams
Strong documentation and reporting skills
Educational Qualification
MBA / PGDM – HR or MSW – HR / Personnel Management preferred.
Graduates with relevant manufacturing HR experience may also be considered.
