Job Summary
The Assistant Executive (AE) will support daily office operations by managing coordination, scheduling, communication, documentation, and administrative tasks. The role requires strong organizational skills, timely reporting, and effective communication to ensure smooth workflow and efficient task execution.
Key Responsibilities
1. Coordination & Follow-up
Handle daily follow-up on assigned tasks and pending work
Coordinate with internal teams, candidates, and external contacts
Ensure timely completion of delegated responsibilities
Provide regular status updates to reporting manager
2. Scheduling & Time Management
Arrange interviews, meetings, and appointments
Maintain calendars, schedules, and reminders
Prepare meeting notes and action points
Ensure timely reporting and task tracking
3. Communication Management
Manage emails, calls, and official communication
Respond to routine inquiries professionally
Facilitate communication between management and team members
Maintain professional communication standards
4. Documentation & Record Keeping
Maintain accurate records, files, and databases
Prepare daily/weekly reports and updates
Ensure proper filing and document management
Support data entry and form filling tasks
5. Administrative Support
Assist in daily office management activities
Support operational and administrative requirements
Help maintain smooth and organized office workflow
6. Payment & Purchase Assistance
Assist in office payments and expense tracking
Support procurement of office supplies when required
Maintain records of purchases and payment follow-ups
Required Skills
Good communication skills (Hindi & English)
Basic computer knowledge (MS Excel, Email, Google Sheets)
Strong coordination and organizational skills
Good time management and multitasking ability
Attention to detail and professional attitude
Ability to work independently and responsibly
