Roles & Responsibilities:
Office Administration
Overall responsibility for corporate office administration and facilities management.
Act as the first point of contact for all administration-related queries and provide timely solutions.
Handle local administration issues and provide on-ground support as required.
Cost Control & Vendor Management
Monitor and control administrative costs and budgets.
Manage vendors related to housekeeping, courier services, pest control, office supplies, travel, and other services.
Review service quality, negotiate terms, and ensure timely payments as per agreements.
Contract & Agreement Management
Review service agreements and maintain proper records for renewals, expiries, and amendments.
Maintain trackers for all client agreements and service contracts.
Coordinate with Legal, Regional Teams, and Clients for contract validation.
Obtain necessary approvals from HR, Finance, and Management before circulating contracts to respective regions for records.
Office Infrastructure & Facilities
Ensure smooth functioning of office infrastructure, including IT support coordination.
Oversee office maintenance, housekeeping standards, and safety compliance.
Manage courier services and other office support services.
Travel & Accommodation Management
Manage the Travel Desk including flight ticket booking, hotel bookings, and other travel arrangements.
Handle rent agreements and accommodation arrangements for Sales and Service teams stationed at client sites.
Employee Engagement & Events
Organize annual events, office festivals, monthly birthday celebrations, and other employee engagement activities.
Coordinate with vendors and internal teams for seamless event execution.
Problem Solving & Coordination
Adopt a proactive problem-solving approach for administrative and operational challenges.
Coordinate with internal departments and regional offices to ensure smooth operations and compliance.
