Job Role: Factory Admin
Job Location: Santacruz East (Mumbai)
Working Days: 6 Days (Sunday will be fixed off)
Working Mode: Work from Factory
Shift Timings: Morning Sift (9:30am – 6:30am)
Experience Required: 4-8 yrs.
Notice Period: Immediate / 15days.
Should be working in Any Manufacturing/ Factory/ Premises
Role Title: Factory Admin
Job Purpose To provide admin and HR support for smooth functioning of the organisation
Vendor Finalisation • Identify vendors for stationery, housekeeping materials, facility
maintenance, and AMC service providers (e.g., air conditioning or
generator maintenance) etc
• Collect multiple quotes and negotiate pricing
• Take necessary approvals, finalize vendors, complete documentation,
and ensure compliance for long-term service contracts
Upkeep &
Maintenance • Ensuring factory premise is kept clean and tidy by continuously
overviewing the housekeeping staff
• Manage repairs and maintenance of the factory infrastructure and
facility like the electricity services, telephone etc.
• Coordinate with various vendors and get work done as per schedule
• Ensure regular pest control with identified agency
Reports &
Documentation
• Prepare various MIS reports project wise transportation data.
Manpower reports and all other reports requirement and submit to
Factory manager/ management as per requirements
Bill Verification • Verify the bills against the standard verification process, take sign off
from Factory Manager and submit the same to Purchase/HO Admin
for processing
Petty Cash
management
• Manage petty cash and forward to accounts with all details and
vouchers
Courier
Management • Enter all posts in the inward register and direct them to the relevant
employee.
• Record all outgoing posts in the Outward register
Admin Support • Maintain stock of factory supplies like paper, stationary items etc.
• Issue stationary items to employees and make monthly consumption
report
• Ensure any notices instructed by the Factory manager are displayed in
the premises
• Conduct random checks at security gate point to review the security
and safety arrangements
• Ensure that all floor employees comply with safety guidelines.
• Co-ordinate for recruitment, manage onboarding formalities &
separation formalities
• Manage attendance and leave process for employees
• Prepare the OT sheet and validate it against the biometric records and
attendance register
• Visit the ITI institute to source and hire technical candidates
• Conducting fun & bonding activities for employees
• Assist employees with their queries and direct any disciplinary issues
observed to HR/ Managers and ensure closure
• Assist with any ad hoc HR tasks as directed by management / Factory
Manager
