We are looking for a proactive and well-organized Admin Executive to oversee daily administrative operations, manage office activities, and supervise 2–3 support staff. The ideal candidate should have strong communication skills, the ability to multitask, and hands-on experience with attendance & HRMS systems such as Spine HRMS.
Key Responsibilities
Administrative & Office Management
• Oversee day-to-day office operations to ensure a smooth and efficient working environment.
• Manage office supplies, inventory, vendor coordination, maintenance, and housekeeping schedules.
• Handle incoming and outgoing correspondence such as emails, courier, phone calls, and documents.
• Coordinate meeting room schedules, handle visitor management, and facilitate internal office arrangements.
• Ensure office equipment (printers, AC, internet, CCTV, etc.) are functioning—raise service requests when required.
• Maintain proper filing systems—physical and digital—for administrative records.
Attendance & HRMS Management
• Manage and monitor employee attendance, leaves, and punctuality through the Spine HRMS system (or similar attendance software).
• Update and maintain attendance records, leave trackers, weekly reports, and monthly MIS.
• Coordinate with HR to provide accurate attendance inputs for payroll processing.
• Assist in onboarding formalities (ID creation, access cards, documentation, etc.).
Team Supervision
• Lead and supervise 2–3 support staff such as housekeeping, office boys, and front desk assistants.
• Allocate tasks, ensure discipline, and monitor performance and punctuality.
• Ensure the staff maintains cleanliness, hygiene, and overall upkeep of the office premises.
• Train junior staff on admin processes and ensure smooth workflow.
Vendor & Facility Coordination
• Coordinate with external vendors for office maintenance, repairs, courier services, stationary, etc.
• Obtain quotations, negotiate basic rates, maintain vendor records, and track service quality.
• Ensure adherence to safety, security, and facility guidelines.
Documentation & Reporting
• Prepare administrative reports, expense summaries, petty cash handling, and reimbursement documentation.
• Maintain records of AMCs, service contracts, company assets, and compliance-related documents.
• Support management with any required reports, data, or administrative assistance.

Skills & Qualifications
• Graduate in any discipline (Admin/HR background preferred).
• Minimum 2–4 years of experience in administration or office management roles.
• Hands-on experience with Spine HRMS or other attendance/HRMS software (mandatory).
• Strong communication, coordination, and organizational skills.
• Ability to multitask, prioritize tasks, and work independently.
• Proficient in MS Office (Excel, Word, Outlook).
• Leadership qualities with the capability to manage support staff.
• Problem-solving mindset and a proactive approach to operational issues.
