Key Responsibilities
1. Client Billing & Invoicing
Prepare and issue client invoices as per engagement terms.
Maintain monthly billing tracker for all clients.
Coordinate with partners and team members to ensure timely billing of assignments.
Track retainers, project fees, and recurring service billing.
Ensure invoices comply with GST requirements.
Maintain billing MIS and revenue reports.
2. Accounts Receivable & Recoveries
Monitor outstanding receivables and maintain an AR ageing report.
Send payment reminders and follow-up emails to clients.
Coordinate with partners for high-value recoveries.
Maintain collection tracker and payment follow-ups.
Update receipt entries and reconcile with bank statements.
Escalate overdue payments beyond agreed credit terms.
3. Payroll & Employee Expense Management
Process monthly payroll for employees.
Maintain attendance and leave records.
Ensure timely payment of salaries.
Coordinate with accountants for TDS, PF, ESI compliance.
Process employee reimbursements and expense claims.
Maintain employee salary and benefits records.
4. Recruitment & HR Coordination
Assist in hiring and recruitment processes.
Post job openings on job portals (Naukri, LinkedIn, etc.).
Schedule candidate interviews with partners/managers.
Coordinate offer letters and joining documentation.
Maintain employee database and HR records.
Manage onboarding and exit formalities.
5. Office Administration
Manage office operations and vendor coordination.
Handle office supplies, subscriptions, and utilities.
Coordinate with IT vendors for systems and software.
Maintain documents, agreements, and administrative records.
Support partners in operational and compliance documentation.
6. MIS & Reporting
Prepare monthly MIS reports including:
Billing summary
Collection status
Outstanding receivables
Payroll summary
Maintain financial trackers and operational dashboards.
Assist management with data required for decision-making.
