Job Summary:
We are seeking a highly organized, proactive, and people-oriented Receptionist to join our co-working space team. As the first point of contact for members, guests, and visitors, you will provide exceptional customer service, manage front desk operations, and support the smooth functioning of our community.
Key Responsibilities:
1. Front Desk Operations:
- Manage reception area, welcoming, and well-maintained
- Handle incoming calls, emails, and messages; respond to queries and direct them to relevant teams
- Process inquiries for workspaces.
2. Housekeeping and Facilities Management:
- Brief and manage housekeeping staff on daily tasks, schedules, and performance expectations
- Monitor housekeeping standards, ensure cleanliness, and address any issues promptly
- Coordinate with maintenance teams for repairs, upgrades, and facilities management
3. Employee Management:
- Track and manage employee attendance, leaves, and work schedules
- Ensure punctuality and adherence to company policies
- Address client queries, concerns, and provide support as needed
4. Client Service:
- Prioritize client needs, respond to queries, and resolve issues promptly
- Foster a welcoming atmosphere, promote community events, and encourage member engagement
5. Operations and Administration:
- Maintain accurate records, databases, and filing systems
- Process invoices, payments, and receipts
- Coordinate with teams client enquires and space details
Requirements:
- 1-2 years of experience in a similar role (customer service, hospitality, or administration) is appreciated if not you may try with the relevant experience.
- Excellent communication, interpersonal, and problem-solving skills
- Proficiency in MS Office, Google, or similar software
- Ability to multitask, prioritize, and work independently
- Punctuality and minimal leave requirement
- Friendly, approachable, and professional demeanor
- Basic knowledge of facilities management and maintenance

Working Hours:
- Full-time position (Monday to Saturday, 10 am to 7 pm or 9am to 6pm)
