Receptionist – Job Responsibilities
Front Desk Management
Welcome and greet visitors, clients, and staff in a professional and courteous manner.
Manage the reception area and ensure it is clean and organized.
Handle visitor registration and maintain visitor records.
Telephone & Communication
Answer and transfer incoming calls to the appropriate department or person.
Take and convey messages accurately.
Respond to general inquiries from visitors, customers, and employees.
Visitor & Customer Handling
Receive and assist customers and visitors.
Coordinate with relevant departments for visitor appointments and meetings.
Maintain a professional and helpful attitude while dealing with customers.
Appointment & Meeting Coordination
Maintain the appointment and meeting schedule.
Coordinate meeting arrangements and inform concerned employees about visitors and appointments.
Manage meeting room bookings when required.
Administrative Support
Maintain reception-related records, registers, and documents.
Receive and distribute courier, postal mail, and other documents.
Assist the administration team with day-to-day office activities.
Maintain office supplies at the reception and inform the concerned person when stock is low.
Email & Correspondence
Monitor general office emails and forward them to the appropriate person or department.
Prepare basic correspondence, notices, and communication as required.
Coordination
Coordinate with HR, Administration, Accounts, and other departments whenever required.
Support staff and management with routine administrative requirements.
Office Discipline & Confidentiality
Maintain professionalism and confidentiality while handling company information.
Follow company policies, procedures, attendance rules, and office protocols.
Perform any other reasonable duties assigned by the management.
