2. Guidelines:
· Receptionist should be dressed neatly and tidily as it’s the first look of the Office. He/She should follow the dress code strictly.
· Receptionist should be always seated at her desk and in his /her absence; it should be handed over to the responsible person.
· While transferring the calls to the Top Management, He/she should seek the permission first and than take necessary action on the same.
· While transferring the calls for others, it should be transferred on their extension only.
· Give prier intimation regarding the CT & MRI Patients appointments/ & consent should be properly filled+ & sent to the CT /MRI Dept
· Receptionist should give Official nos or email ids of the concerned person only after comprehensive verification.
· The front office is in charge to welcome the patient
· Once the patient are at the reception, the concerned person should take the prescription & confirm the test that patient wants to do
· The receptionist should make him/her aware for the preparation of the test if any special preparation required for the same .If not then make him/her aware about the charges.
· Make the column wise entries in the register & then she should make the bill
· Bill should be handover to the coordinator and coordinator should escort the patient to words the cabin where the test will be carried out
· If the patient has come to collect reports, he/she should be handed over the same after confirming the payment of dues if any.
· If the patient has come to collect report, the person should not be made to seat beyond 30 mins.
· If the patient is asked to wait for a specific reason, he/she should be offered special attention & the person should not be made to seat beyond 30 mins.
· Every patient should be escorted well by the coordinator or word boy+ in the Center premise, if at any point of time he is seen wandering in the campus the Front office shall be responsible for the same.
· After the Office hours, the receptionist should ensure that the cash is tallied & required daily report submitted to accounts department
· After Office hours, the receptionist should ensure that all the office related material is locked and kept inside the respective drawers.
· At any given time if any un-expected incident takes place at the Reception, he/she should report it to the management.
