Front Desk Operations:
Greet and welcome patients warmly upon arrival.
Answer phone calls, emails, and messages promptly and courteously.
Schedule, confirm, and reschedule patient appointments using the clinic’s booking software.
Manage patient check-in and check-out procedures efficiently.
Patient Relations:
Provide information about dental services, procedures, and clinic policies.
Handle patient inquiries, concerns, and feedback in a professional and empathetic manner.
Collect and verify patient information and insurance details.
Administrative Duties:
Maintain accurate and organised patient records (digital and paper).
Process billing, payments, and receipts; handle daily cash balancing.
Liaise with dental assistants and dentists to ensure smooth patient flow.
Prepare daily reports, appointment lists, and other administrative documentation.
Ensure the reception area is clean, tidy, and presentable at all times.
Compliance & Confidentiality:
Adhere to all dental clinic policies, including privacy and patient confidentiality (HIPAA or local data protection laws).
Follow infection control and health & safety protocols.
Education: High school diploma or equivalent (required); diploma in Office Administration, Healthcare Administration, or related field (preferred).
Experience: Minimum 1–2 years of experience as a receptionist, preferably in a dental or medical setting.
Technical Skills:
Proficiency in MS Office (Word, Excel, Outlook).
Experience with dental or medical software (e.g., Detriment, Open Dental, etc.) is an asset.
