Job Summary
The Community Executive is responsible for the smooth day-to-day functioning of the GoSpaze co-working centre. The role includes facility operations, housekeeping supervision, vendor coordination, inventory control, and handling walk-in clients and member interactions. The executive ensures a clean, safe, and welcoming environment while supporting client enquiries and converting walk-ins into potential leads through coordination with the sales team.
Key Roles & Responsibilities
Centre & Facility Management
Manage daily operations of the co-working centre to ensure uninterrupted services.
Ensure the centre is clean, safe, and well-maintained at all times.
Conduct regular inspections of common areas, workstations, meeting rooms, washrooms, and pantry.
Coordinate minor maintenance and report major issues to the operations team.
Housekeeping Management
Supervise housekeeping staff and ensure cleaning schedules are followed.
Maintain hygiene and cleanliness standards across the centre.
Monitor washrooms, pantry, and common areas regularly.
Vendor Management
Coordinate with vendors for housekeeping, security, maintenance, internet, pantry, and other facility services.
Track vendor performance and ensure timely service delivery.
Raise service requests and follow up until closure.
Inventory & Stock Management
Maintain inventory of office supplies, pantry items, housekeeping materials, and consumables.
Monitor stock levels and initiate purchase requests when required.
Maintain accurate stock records and support cost control.
Client & Walk-in Management
Greet and assist walk-in clients visiting the co-working centre.
Provide basic information about GoSpaze services, pricing, and facilities.
Coordinate with the Sales team for walk-in leads, site visits, and follow-ups.
Ensure walk-in client details are captured accurately and shared with the relevant team.
Handle client and member queries professionally and ensure timely resolution.
Member Support & Coordination
Act as the first point of contact for existing members regarding facility-related concerns.
Resolve member complaints related to infrastructure, housekeeping, or services with urgency.
Ensure a positive client and member experience at all times.
Reporting & Compliance
Maintain daily operational checklists, walk-in registers, and reports.
Ensure compliance with safety, security, and facility guidelines.
Support audits and internal reviews as required.
Skills & Qualifications
Graduate or Diploma holder from any discipline.
1–3 years of experience in co-working, facilities management, hospitality, or customer-facing roles.
Basic knowledge of MS Excel and Microsoft Office tools.
Well-groomed individual with good communication and interpersonal skills.
Proficient in English; knowledge of local languages is an advantage.
Strong coordination and vendor management skills.
Customer-focused mindset with problem-solving abilities.
Ability to multitask and work under pressure.
Willingness to work flexible shifts and extended hours when required.
