The Receptionist / Office Coordinator at AstroKapoor plays a key role in creating a professional, welcoming, and efficient office environment. This position serves as the first point of contact for visitors and clients, while also supporting daily administrative, operational, and coordination tasks across departments.
Greet visitors, clients, and employees with a warm and professional demeanor.
Answer, screen, and direct phone calls and emails.
Maintain a clean and organized reception area.
Manage visitor logs, badges, and security protocols.
Oversee office supplies, inventory, and ordering.
Coordinate maintenance of office equipment and facilities.
Assist with scheduling meeting rooms and preparing them for use.
Support workplace operations to ensure smooth day-to-day workflow.
Assist with document preparation, data entry, and filing.
Manage incoming and outgoing mail, packages, and deliveries.
Support HR and management with administrative tasks as needed.
Help organize company events, meetings, and team activities.
Liaise with vendors, service providers, and internal departments.
Maintain professional communication across the organization.
Provide support for onboarding new employees (badges, workspace setup, documents, etc.).
High school diploma required; associate or bachelor’s degree preferred.
Proven experience as a receptionist, office coordinator, or administrative assistant.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office Suite (Word, Excel, Outlook) and general office technology.
Professional appearance and customer service mindset.
